Role overview
Here at Citygate Automotive, we are looking for a Head Office Administrator to join the Head Office team in our brand-new office in Marlow. You will support the Executive Assistant to the CEO and the Executive Directors by managing diaries, travel arrangements, executive administration and providing overall support to the team with the utmost confidentiality. This role will also support the training requirements of the business, coordinating training sessions through our internal Academy and managing e-learning and portal access for our teams across the group. The ideal candidate requires exceptional communication skills, attention focused, self-motivated approach with great organisational skills.
Responsibilities
As the Head Office Administrator, your duties will be to:
* Providing comprehensive administrative support to executives including managing calendars, scheduling appointments, and organizing meetings, ensuring efficient communication within and outside the organization.
* Handling correspondence, draft documents, and prepare presentations, all while maintaining confidentiality and discretion.
* Organising travel arrangements, expense management, and task prioritization are key responsibilities.
* To process and administer all training systems effectively to ensure starters, leavers and amendments are actioned in real time.
* To coordinate Mental Health first aider training/certificate renewal, manage First Aid & Fire Marshall Training.
* To manage BeSafe e-learning Compliance for the group, ensuring adherence to H&S requirements and training.
* To oversee Brand e-Learning requirements, monitor completion of learning pathways and escalate outstanding pathways to management, ensure learning trackers are kept up to date at all times
* To coordinate on and offboarding of operational Platforms such as Dealerweb, iDealFile, GardX.
* To support with ad-hoc Learning and Development requirements.

About You
As a Head Office Administrator, you will ideally have the following skill and experiences:
* Previous experience within an administration role, experience within the automotive industry would be preferred but not essential.
* The ability to handle information professionally and confidentially, with the upmost discretion
* Strong attention to detail, with the ability to multitask and adapt in a fast-paced environment
* Excellent organisational and time management skills, to meet strict deadlines
* Great rapport building skills, to build strong relationships with the executives
* Computer literacy, including Word, Excel, PowerPoint, Teams, and Outlook
* Exceptional communication skills, both written and verbal
