As a Tender & Contract Specialist (full training to be provided), it will be your main responsibility to manage the end-to-end tender processes, taking a lead role in all Tender submissions and ensuring that the agreed process is always followed. You will assume the role of local expert in the respect of understanding the procurement rules, guidelines and legal requirements. Consequently, you will provide contract and tender support, advice and guidance to the local sales team.
As a part of the customer service department, you will report directly to your Customer Service & Tender Office Manager, Carlie Maxwell.
Job Responsibilities
As our Tender & Contract Specialist, you will be responsible for managing all tender or contract related administration in a proactive, effective and precise manner, while frequently communicating the contract status to the relevant internal stakeholders. Together with the existing Tender & Contract Specialist, you will be the main contacts regarding tender related matters. Consequently, you will be working closely with the customer service and sales teams. Furthermore, you will monitor the developments in tender legislation, technology and digitalisation, and you will attend necessary trainings accordingly.
By being a part of Terumo Europe and our UK Customer Service and Tenders teams, you have a joint responsibility for fair and collegial behaviour in the department and in the company, following the corporate guidelines and core values. You will build and maintain strong relationships with the relevant stakeholders. You will have a good understanding of all products to enable the completion of Tender submissions, Commercial Agreements Contracts and to support the procurement process. You will be the local expert in respect of understanding the procurement rules, guidelines and legal requirement and using the knowledge to pro-actively support the local Sales team.
You will identify public sector tender opportunities, using pre-defined search criteria, with the Tender Price Quote Tool (TPQ). If applicable or required local tender searching tools or portals can be utilised.
You will manage the tender processes from start to finish. You will proactively manage the tender through a project management approach, being accountable for the preparation of the tender with the needed accuracy. You will work closely with all internal stakeholders, obtain all needed formal templates and ensure all deadlines are met. Therefore, you will undertake all actions to certify complete, timely and winning tender applications. Throughout the process you will follow up accordingly with your manager.
You will obtain all formal and legal representative signatures, check all contents requested in the tender terms and ensure the correct filing and management of the tender documents.
If needed, you will manage & follow up on samples requests coming from the order managed in the CRM by Sales, reception, stickers, technical documentation & reception regarding the deadline set in the tender.
In case of a Tender Awardation, you will evaluate and communicate accordingly the tender award and additional information obtained from the customer to the sales team, considering the awarded data are processed.
You will be responsible for uploading all tender prices in SAP and you will ensure the pricing database is always kept up to date. Consequently, you will ensure the required accuracy and reporting in case of audits.
By fulfilling your role, you will maintain the Contract Management in close collaboration with the sales team. You will lead and anticipate the renewals, informing the sales team on the deadlines and possible price indexations included in the tender documentation. You will send all required documents and (new) prices to the customers in anticipation of the renewal.
Aside from your Tender & Contract responsibilities, you will provide support in a series of administrative tasks related to office management, customer service and/or sales & marketing. This includes organisation of internal/external events & meetings, responsibility to include, Travel Officer, update internal Sharepoint and TARA (reward and recognition platform).
You will assume all other responsibilities and authorities this function may require regarding new opportunities.
Profile Description
Education & Experience:
1. Bachelor’s degree in a relevant field or equivalent experience in a similar role.
2. Experience in public procurement, administrative law, or the medical device industry is a plus.
