An opportunity is available for a Team Support on a temporary basis for up-to 12 months (subject to review) within the Engineering Design team based at Bristol or Cardiff. The successful candidate will provide administration support to the Engineering Design team in the South West and Wales, a presence at both offices will be required for 2 days per week at base location (Bristol or Cardiff) plus one day at other location. (Bristol or Cardiff) You will need English and Maths GCSE Grade C/Level 4 or above OR Functional Skills Level 2 or above to apply. Main Responsibilities Administer the protection sheet monitoring systems & liaise with Network Services teams to ensure records and systems are up to date Update central protection records system and paper/electronic files Update and maintain conductor details within protection spreadsheets/database, including cross checking to ensure updates are reflected on EMU and PowerOn Manage the Engineering Design South West inbox Managing the South West Engineering Design team calendar Creating and managing tasks for the engineers; keeping an eye on deadlines and chasing engineers where required. Involvement in the start to end process for G99 witness testing and being the main point of contact. Liaising with customers to see if they meet the criteria for a witness testing. Obtain the required information and book in witnessing with customer and engineer. Creating enquiries on CROWN for G99 witnessing. Ensure the enquiry contain all the information required and closing enquiry down following completion of payment. Ensure there is an up-to-date record for witness testing to keep track of any changes and payments. Creating Purchase Orders and invoices via CROWN and E5. Liaise with Credit Control regarding invoices Raising External Billing requests (Invoices/Credit notes/Refunds) where required. Process invoices on E5 Update the team design monitor/tracking spreadsheets as needed. Provide administration support to the Network Design Manager, Team Managers and the team, e.g. monitoring CBT/ authorisations/PPE checks, arranging training, meetings, catering, hire cars, travel and accommodation. Updating Crown and other systems used by the team. Applications used: CROWN, EMU, E5, Excel The Ideal Candidate You must be reliable, well organised and able to work as part of a small team as well as being able to work using your own initiative. Possession of good keyboard/personal computer skills are essential, and knowledge of applications including Excel, PowerOn, EMU, E5 and CROWN is desirable.
