About the role: Lead Contract Warehouse Administration Operation within Metro Supply Chain, understanding and delivering the objectives from the Business Plan.
Tasks Include:
* Plan and coordinate administrative procedures and systems.
* Devise ways to streamline processes.
* Manage customer requirements.
* Maintain and provide KPI reporting in line with contractual SLA’s.
* Recruit and train personnel.
* Effective allocation of responsibilities to cover all key requirements.
* Assess staff performance and provide coaching and guidance.
* Ensure the smooth and adequate flow of information to the operations team and other key departments.
* Manage schedules and deadlines.
* Monitor costs and spend within the department in line with budget.
* Use a range of software, including email, spreadsheets, and databases, to ensure the efficient running of the office.
* Develop and implement new administrative systems when required.
* Organise the office layout to maximise efficiencies and smooth operations.
* Maintain the condition of the office to ensure staff welfare.
* Organise and chair meetings with staff.
* Ensure adequate staff levels to cover for absences and peaks in workload.
* Delegate work to staff and manage their workload and output.
* Promote staff development and training.
* Respond to customer enquiries and complaints as point of escalation.
* Work closely with the customer to understand fully their requirements and expectations and act as the senior Metro Supply Chain operational lead.
* Maintain and manage customer KPIs, SLA requirements and support with monthly review meetings.
* Understand our customers’ issues and drive business improvements to aid resolution.
* Assist, advise and manage the supervisors and direct reports.
* To recruit, train, develop and motivate staff within framework of Job Descriptions, and Competency and Skills Matrix.
* Ensure stock control systems are kept up to date and work with planning manager to ensure inventories are accurate.
* Work with the General Manager, Operations Manager and Supervisors to ensure H&S management best practice is applied, and investigations and corrective actions are applied rigorously.
* Identify, analyse and implement operational developments and improvements through tools such as Always Improving and Gemba walks.
* Report any Health and Safety issues (accidents / near misses) as required.
* To ensure that we have an informed team and to develop a continuous improvement culture.
* Develop relationships throughout the business working with direct reports and counterparts across other sites.
* Ensure the implementation of company audit schedules.
* Identify areas of risk to the business and develop appropriate contingency plans to reduce the risk to an acceptable level.
* Support the objective of Safety in Operations by ensuring H&S management Best Practice is applied, and investigations and corrective actions are applied rigorously.
* Attend and support regular reviews with the customer and operational team with focused action driven minutes.
* Understand what the customers’ issues are and with the team, identify where there may be further opportunities to expand our service to them.
* Identify opportunities for and initiate Continuous Improvement projects.
* Work with the managers within the business to identify and optimise the total Supply Chain Solution offering from Metro Supply Chain to the customer.
* Support the personal development of people across the contracts within a framework of job descriptions, competency and skills matrix.
* Support and develop the admin team, identifying training needs.
Qualifications and Skills Required:
* IT Literate, particularly experienced in Warehouse Management Systems.
* Must have previous experience of people management with a strong understanding of how to motivate and develop a team.
* Commercially aware, able to understand the culture and behaviour of a large organisation.
* Ability to communicate at all levels building credibility and commitment to our principles and values.
* Comfortable with both business systems and Microsoft office suite of programmes.
* Adaptable, able to change approach and style according to a given situation.
* Dynamic.
* Strong attention to detail, demonstrating and understanding the individual contracts to provide full, professional, efficient and effective support to the business and the team.
* To continuously develop and improve service quality.
* Demonstrate appropriate understanding of business needs by prioritising activity and resources and regularly reviewing the performance of the team.
* Be driven by structure and processes, while at the same time be able to cope with fluid situations.
* Demonstrate good leadership skills, being able to inspire, motivate and organise the efforts of a talented team.
* Be able to work under pressure, balancing demands from many parts of the business and prioritising.
* Be capable of demonstrating and communicating tasks and project work clearly at a high level.
* Have good communication skills, of both an informal and formal nature, being comfortable with both internal as well as outward-facing relationships.
* Full clean driving license.
