On behalf of a successful retail design agency, we're looking for a skilled clerical professional with a comprehensive knowledge of freight and logistics administration, previous project coordination experience and excellent organisation skills.
The successful applicant will provide professional, effective and efficient clerical support to the Head of Logistics, production team and project managers across three sites. This is an excellent opportunity for candidates who would potentially like to develop their transferable administrative skill set into a career in retail design project management in the future.
Salary: £25,000 - £28,000
Working hours: Monday to Friday 9.00am-5.30pm (37.5 hrs per week)

Duties and responsibilities:
1. Providing support to the Associate Director of Logistics and Production Managers at two facilities
2. When practical, assisting the HQ Projects team
3. Providing cover for holiday periods by arranging Installations teams and managing the diary system.
4. Helping to manage the administration of installations, removals and maintenance of retail displays
5. Ensuring all required documents are approved and uploaded, and all parties are informed.
6. Working with H&S / Compliance Manager to ensure RAMS/Method Statements are completed
7. Organising deliveries locally, nationally and internationally
8. Taking responsibility for all invoicing and customs documents for export deliveries
9. Booking permits, hotels, flights, Euro tunnel and any other travel needs for installation teams
10. Assisting with the production of Installation instruction guides (usually PowerPoint)
11. Raise purchase orders to suppliers using SAGE job cost software - after training
12. Assisting with fleet management including vehicle safety checks, tax, MOT and breakdown cover
13. Producing labels, ordering and managing stock of production unit consumables
Skills and experience required:
1. Extensive previous experience in a complex administration role, ideally involving project coordination or scheduling responsibilities
2. Sound understanding of logistics and freight paperwork
3. Excellent PC literacy is essential, with good working knowledge of MS Office, particularly Excel
4. Accuracy and attention to detail along with strong organisation skills and the ability to multitask effectively
5. Excellent written and verbal communication, with a positive and helpful approach
6. Driven to achieve personal goals and demonstrates initiative and tenacity in resolving problems
7. A full and valid driving licence is required for the responsibilities of the role
