Job Description We are looking for a Receptionist and Facilities Administrator to join the team in London (Wenlock Road, N1 7SL) to co-manage and oversee front of house operations and deliver a high level of professionalism to all Wasserman Music clients, partners and visitors. Key responsibilities include: Meet and greet clients, offer refreshments and contact the appropriate member of staff. Maintain an organised, tidy, and welcoming Reception area for staff and clients Responsible for answering incoming calls in a polite manner, routing calls promptly to the appropriate staff member or voicemail and taking messages when necessary. Manage a high volume of enquires by telephone and email Sort, process and distribute incoming and outgoing post; ensure any costs are accurately recharged where applicable Assist with the allocation of door entry fobs, lockers and bike racks Maintain and organise diaries for all meeting rooms; set up Zoom calls when requested Ensure meeting rooms are kept clean and ready for immediate use Ensure all requirements for meeting room reservations are met, arranging refreshments and/or ordering catering when required Organise occasional high volume group meetings and confirm running order of the day to participants Book couriers/taxis and ensure each cost is allocated and recharged as appropriate Order stationery, groceries and other purchases as necessary, adhering to approval process Managing subscriptions Assisting with the organization of team events Act as a fire marshal and/or first aider (training provided) Monitoring first aid supplies and keeping accident/incident logs up to date Monitoring office maintenance requirements and arranging call outs and site visits when required Coordinating regular contractors’ visits, including cleaners, air conditioning, security alarm, fire alarm system. Liaising with / keeping track of contractors attending the office and coordinating regular contractors’ visits including cleaners, air conditioning, security alarm, fire alarm system. Assist the Operations Manager to ensure compliance with all office health and safety, and buildings & security regulations The above forms the main areas of responsibility for this role, but is not exhaustive and it should be noted that duties may change over time, so the need for flexibility is key and the job-holder will be expected to co-operate with reasonable changes as required. REQUIREMENTS Previous reception experience and office maintenance administration and coordination Proven organisational & exceptional communication skills; gained through the above Proven experience of working under own initiative and as part of a team Excellent IT skills, especially in Outlook, Word, Excel & PowerPoint Highly organised and able to multitask. Excellent written and verbal communication skills Proactive approach to work, able to pre-empt problems before they occur.
