Job Description:
As Events Assistant you will support the delivery of IF&R events, assisting the IF&R Assistant Manager (Events) and the wider IF&R marketing team. In addition, you will support the team in ensuring all event activities are well communicated, and feedback, performance, and ROI are regularly captured.
This is a 12-month fixed term contract.
Event Organisation:
Assist with the organisation and on-the-day, in person support of events, including:
* Administration of event-related activities such as invites, agendas and promotional material.
* Adhering to firms ethics, due diligence and hospitality processes and ensuring relationships and new clients are logged.
* Finding and booking venues. Liaising with caterers and negotiating contracts with suppliers.
* Acting as the RSVP contact on invitations.
* Responding to external and internal event enquiries professionally and promptly.
* Maintaining and logging event guest lists.
* Keeping internal stakeholders regularly updated on RSVP progress.
* Assist in maintaining event budgets and financial records, including processing invoices.
* Collaborate with the marketing team to promote events through various channels, such as social media and email campaigns.
Event Analysis:
Produce event analysis by:
* Collating feedback from guests.
* Ensuring requests for further information are followed up by relevant personnel.
* Collating internal feedback.
* Producing summary reports of statistics.
* Work closely with the BD team to ensure events achieve commercial objectives.
* Work collaboratively with the wider markets and clients team to ensure alignment of firmwide message and approach where appropriate.
* Support managers, senior executives, and other team members' workloads when appropriate.
* Develop strong and trusted relationships with stakeholders.
* Act with integrity and in line with organisational values.
