Personal Assistant / Business Support Officer needed in Southwark, £21.31ph PAYE – Reference: RQ1428809
This role will provide some personal assistant duties to the Director of Integrated Commissioning and act as Divisional Secretary for the department.
1. To provide some Personal Assistant support to the Director of Integrated Commissioning, providing high level professional support and assistance ensuring the Director’s needs are effectively met and managed.
2. To ensure that complex schedules and diaries are maintained accurately, making informed judgements based on understanding competing demands of the services, and prioritising appointments appropriately.
3. To monitor and filter incoming enquiries and emails, using judgment to respond or redirect according to nature, sensitivity and urgency.
4. To arrange meetings including the co-ordination of diaries, room bookings, the preparation and circulation of agendas and taking minutes as required.
5. To plan, organise and coordinate internal and external meetings, functions and events on behalf of the Director or their teams.
6. To ensure the Director is suitably briefed and prepared ahead of meetings, and that they are kept informed about relevant changes and developments in a timely manner.
7. To act as a representative of the Director by establishing effective personal working relationships for elected councillors, chief officers, staff, stakeholders and external partners and handle all matters professionally.
8. To maintain high levels of sensitivity in relation to personal, confidential and sensitive issues. Always ensuring that the appropriate degree of confidentiality, discretion and tact is always adopted.
9. To undertake other duties appropriate to the post that may reasonably be required from time to time including participation in divisional projects.
10. To act as Divisional Secretary across the Integrated Commissioning teams taking responsibility to updating key shared documents and managing the process for booking reports and briefings into meetings required as part of procurement and commissioning governance arrangements seeking advice from the Departmental Coordinator as required.
This is a full time role on a temporary contract basis.
