Position Overview
As an Events Coordinator at Makita UK, you will be responsible for the planning, coordination, and execution of various corporate and promotional events. Your role will involve working closely with internal teams and external suppliers to ensure the success of each event.
What you will be doing:
* Client Liaison and Event Planning - Liaise with internal clients to understand their event requirements and goals. Create detailed proposals for each event, including timelines, venues, suppliers, staffing, and budgets.
* Supplier and Venue Coordination - Research, negotiate with, and hire venues, suppliers, and contractors. Coordinate all logistics, including catering, travel, and transportation.
* Promotion and Publicity - Collaborate with the sales and marketing teams to publicise and promote the events. Manage event promotions through various channels to ensure high attendance and engagement.
* Pre-Event Preparation and Coordination - Organize guest speakers, delegate packs, and all other pre-event materials. Ensure all event-related tasks are on track and completed within the given timeframes.
* On-Site Event Management - Oversee event logistics and coordination on the day of the event to ensure everything runs smoothly. Manage suppliers, handle client queries, and troubleshoot any last-minute issues. Supervise any onsite staff or contractors, providing full briefings as necessary.
* Safety, Compliance, and legal obligations - Organize necessary facilities such as parking, security, first aid, and hospitality.
* Post-Event Evaluation - Conduct post-event evaluations to assess the success of the event. Gather feedback and insights to improve future events and inform best practices.
* Event Breakdown and Venue Clearance - Oversee the dismantling and removal of the event. Ensuring that the venue is cleared efficiently, and all equipment is returned.
What We’re Looking For:
* Event Management Experience: Experience in organizing and managing corporate or large-scale events.
* Organisational Skills: Ability to manage multiple tasks and projects simultaneously in a fast-paced environment.
* Attention to Detail: Strong eye for detail, ensuring all aspects of the event are covered, from planning to execution.
* Excellent Communication Skills: Able to liaise effectively with internal stakeholders, suppliers, contractors, and attendees.
* Problem-Solving: Ability to quickly identify and resolve issues as they arise during the planning and execution of events.
* Knowledge of Compliance: Familiarity with legal, health, and safety requirements related to events.
* Team Player: A collaborative mindset to work with various teams, including sales, marketing, and external partners.
* Driving License: A full driving licence to visit / inspect venues when required.
