Job Description:
* Job Title: Residential Services Administration Assistant
* Accountable to: Operational Manager
* Salary: £19,656.00 per annum (£12.60 per hour)
* Hours per week: Monday – Friday 30.00 hours per week (10am – 5pm)
* Holidays: 5.6 weeks per annum plus statutory Bank/Public Holidays.
* Length of post: Permanent (subject to an initial 6-month probationary period).
Purpose of the job:
* In conjunction with the Operational Manager, provide efficient administration support to Residential Services.
* Assist in the maintenance of accurate and efficient records. This includes assisting in the audits of personal information for both staff and residents.
* Assist in providing excellent customer service.
* Uphold Deafway’s policies in respect of providing a culturally Deaf service including appropriate communication, recognising varying residents’ and staff needs. This will include a willingness to complete BSL Level one and two, funded by Deafway.
General Duties:
* Assist the Operational Manager in the day-to-day administrative procedures both manual and electronic.
* Provide 1st line telephone enquiries support for Residential Services, ensuring polite and responsive communication including the accurate recording of information.
* Assist with meeting and greeting of all visitors, ensuring a polite and courteous attitude.
* Provide secretarial support which will include note taking, taking of minutes as requested by the Operational Manager.
* Management of appointments diary and room bookings, liaising with managers for advice and clarification when required.
* Work to all organisational and departmental policies and procedures, guidelines and standards required, as indicated in the staff handbooks and policy documents.
* Be aware of and ensure confidentiality of information, including the Data Protection Act and GDPR.
* Maintain an efficient and organised filing system, both electronic and hard copy where required.
* Work effectively as part of a team and support Residential Services staff as required, whilst building working relationships with other departments.
* Undertake routine administrative tasks which will include the creation and maintenance of data bases/spreadsheets and stationery orders. This will include the efficient use of an Office 365 package.
* Receipt and despatch of mail.
* Assist in ensuring that Residential Services provide an efficient, effective, and welcoming reception and excellent customer service to all visitors, staff, and service users.
* Produce staff memos and other literature in support of the Operational Manager.
* Maintain efficient office working practices and procedures, developing new procedures where necessary.
* Administer the preparation of staff meetings and to participate as required.
* Assist in promoting and maintaining their own and others Health and Safety and security as defined in the Health and Safety Policy, Fire Procedure and updated practices and procedures as they become necessary.
* Assist in managing the stationary account for Residential Services.
* Assist the Operational Manager in ensuring new staff complete full induction and complete induction checklists, as required.
* Accurate typing and written skills.
* Support the equality, diversity and rights of residents, clients, and colleagues.
* Act in a way that recognises the importance of peoples’ rights, interpreting them in a way that is consistent with Deafway procedures and policies, and current legislation.
* Respect the privacy, dignity, needs and beliefs of residents/clients and colleagues, behaving in a manner which is non-judgmental.
* Participate in any mandatory training programme implemented by Deafway as part of this employment.
* Participate in an annual appraisal, including taking responsibility for maintaining a record of own personal and/or professional development.
* Attend supervision sessions with the Operational Manager.
* Take the lead in own development, learning and performance, reviewing this with the Operations Manager.
* Carry out any other duties as reasonably required by the Operational Manager.
