What is the role?
The purpose of this role is to assist the Construction Director by providing comprehensive secretarial support in a range of administration duties to ensure smooth running of the construction department.
Primary Responsibilities
1. Producing letters on a range of employee matters, arranging meetings, taking minutes, responding to emails and managing the Construction Director's diary.
2. Assisting members of the Public, Employees, Senior Management and Board Members effectively and efficiently thereby maintaining the highest standard of customer care and resolving queries to a satisfactory conclusion.
3. Maintaining the Construction Departments holiday records for weekly employees.
4. Maintaining weekly absence sheets.
5. Liaising with CITB/Colleges regarding Apprentices, keeping their records up-to-date and coordinating annual pay increases.
6. Liaising with Contract Managers and Site Managers informing them of any accidents or incidents on site.
7. Arranging internal and external Health & Safety courses for site staff.
8. Coordinating CSCS cards for site staff.
9. Ensuring the Health & Safety Policy and Procedures are up to date.
10. Preparing and maintaining the Health & Safety filing system.
11. Updating build progress on to COINS.
12. Monitoring green cards/CMLs.
What experience do I need?
1. Previous experience in a similar role essential.
2. Fully conversant with Microsoft Office including, Excel and Outlook.
3. Excellent communication skills both written and verbal.
4. Experience in managing and prioritising multiple tasks.
