As a Business Support Officer, you'll play a pivotal role in providing efficient administrative support to the HR&OD Employee Relations team. Your responsibilities will encompass a wide range of business administrative support to ensure seamless operations and the highest standards of service delivery.
The Business Support Officer will assist in the mechanisms that aim to motivate employees, reinvigorate their work ethic, and increase effective leadership throughout the organization. The post holder will work as part of a team in delivering an efficient and effective Business Management Support service.
Main duties of the job
Provide efficient and effective administrative support to the senior members of the team through some or all of the following:
1. Organising and planning events as directed, providing all necessary supporting materials.
2. Plan and co-ordinate appointments, including rearranging and prioritising as appropriate.
3. Provide support to senior team meetings including organising meetings, booking rooms, and ensuring papers are ready and distributed.
4. Undertake the organisation and planning of events as directed.
5. Organise travel arrangements for the wider team, booking rail and accommodation in accordance with policy.
6. Gather information and undertake enquiries for the team and the wider group as necessary.
7. Develop and maintain effective electronic and paper filing systems ensuring information is secure and accessible to other team members.
8. Create databases and spreadsheets. Input, monitor and check data produced and required for ongoing and finite activities.

Colleagues with a contractual office base are expected to spend, on average, at least 40% of their time working in-person.
Staff recruited from outside the NHS will usually be appointed at the bottom of the pay band.
Job responsibilities
1. Act as a point of contact for teams, dealing and responding effectively with complex queries from a wide range of stakeholders.
2. Be the key point of contact for enquiries and advice for the team.
3. Ensure all urgent and/or confidential communications are received and distributed from/to relevant parties in an appropriate and timely manner.
4. Handle routine correspondence and draft routine responses, ensuring that it is accurate and provided in a timely manner.
5. Ensure that any complaints, comments, and suggestions are dealt with appropriately, in accordance with policy, resolving where possible and escalating to line manager when appropriate.
6. Prepare agendas, take minutes, track and follow up on actions, and distribute notes of meetings.
7. Work together with other administrators/PAs across the organisation to provide an effective network of communication including dealing with visitors and being flexible to cover other administrators' general duties.
8. Provide cross cover for colleagues as required.

Person Specification
Skills
* Strong organisational skills and ability to prioritise work and manage stakeholder expectations.
* Proficient in Microsoft Office Package.
Knowledge
* Good working knowledge of administrative processes and procedures.
* Previously worked in a similar position within a healthcare or public sector environment.
* Able to work on own initiative and unsupervised, within defined policies and procedures to set timescales.
Qualifications
* Educated to NVQ 4 level in a relevant subject or equivalent level of qualification.
* Equivalent level of significant previous proven experience.
