Are you an experienced HR Assistant or Coordinator looking for a dynamic role gaining experience of global HR processes and practices? We are looking for a bright soul to join our People team as People Experience Coordinator as we enter an exciting phase of growth at Exclaimer.
This is a role for someone who is keen to progress, suited to a people-centric individual who is keen to deliver a positive and seamless employee experience and be a true support to both the wider HR team and the business.
Key Responsibilities
Employee Lifecycle Support
1. Support our onboarding process by creating contracts and welcome letters and manage pre-boarding to ensure new hires have all necessary information for smooth onboarding.
2. Oversee global right-to-work and background checks, coordinating with providers and new hires for timely completion.
3. Serve as the first point of contact for employee queries on payroll, leave, benefits, and general concerns, providing timely responses or redirecting as needed.
4. Assist the people team with letters, note-taking, and system updates for smooth operations and gaining broader experience.
5. Ensure key HR processes (e.g., maternity, paternity, parental leave) run smoothly, and policies and documents are up to date and aligned with our values.
HR Systems and Analytics
1. Update and maintain the HRIS (HiBob), ensuring data is accurate and up to date, along with our electronic filing.
2. Support in generating regular reports and insights.
3. Maintain other HR systems.
4. Management of health and safety for the UK.
Payroll & Benefits
1. Support UK and US payroll by ensuring changes are captured and recorded accurately in the payroll systems.
2. UK benefits administration, ensuring people are included in benefits in the right time frames & keeping our documentation and guides up to date and accessible.
3. Answer initial benefit questions and queries and liaise with our benefit broker.
4. US benefits, working with our broker and platform, ensuring queries or issues are handled.
5. Be the first point of contact for employee questions, providing timely and supportive responses or escalating where necessary.
6. Support employee engagement initiatives and contribute to creating a positive work environment.
Skills Knowledge and Expertise
We are looking for a person with experience but crucially someone who is proactive, helpful, and used to working in a fast-paced environment. The ability to think creatively in finding new and better ways to do things to improve our automation and people experiences is essential.
What You’ll Bring:
1. Ideally CIPD Level 3 Qualified with a good track record within people (HR) administration.
2. Excellent communication and relationship-building skills.
3. Highly organized, detail-oriented, and proactive.
4. Ability to manage multiple priorities in a fast-paced environment.
5. Strong technical skills with strong HRIS and process improvement skills.
6. Some flexibility to work across time zones is required.
