Job Title: Out Of Hours Receptionist Location: Hook Surgery, Reading Road, Hook, RG27 9ED & Farnborough Centre for Health, Apollo Rise, Farnborough, GU14 0NP. Responsible to: Operations Manager Accountable to: General Manager Role Summary The post-holder will also provide an efficient reception and administrative service. The post-holder is expected to work independently using their own initiative and seeking advice when appropriate. This role is an integral part of the multi-disciplinary team. Specific Duties for this Role 1. Support To greet patients at the Primary Care Centre (PCC) in a professional and courteous manner, maintaining excellent customer care skills. To book in patient arrivals, take full details and to ensure that any change of patient details are made promptly and accurately. Adhere to procedures for opening up and closing down the PCC. Ensure the patients in the waiting room are kept informed of any potential delays and that the waiting room is kept tidy. Replenish supplies of any items as necessary and ensure that all property belonging to NHUC is looked after safely and securely. Deal with general enquiries both by telephone and in person, from other medical professionals and patients. Collect and record monies taken from patients collecting medication. To wear uniform clothing provided, which should be kept clean and tidy. To be prepared to travel to sister site to support with reception duties in the event of last-minute sickness/absence. 2. Monitoring Activity Monitor base and escalate delays/issues to on-call manager Communicating issues and carry out basic troubleshooting. 3. Adastra Ensuring that the Adastra database is up to date and correct. Troubleshooting any problems with the Adastra Helpdesk. Email patient notes to relevant GP Surgeries/ A&E Departments / Community Nurses. Authentication of Adastra cases. 4. IT Maintain printers/replace toners and communicate with operational team when replacements are needed. Report any IT issues to the on-call manager Monitor generic email accounts. 5. Training Remaining up to date with organisational policies and procedures. Assisting the management team in relation in training new starters. Undertake Fire Marshal training 6. Infection Control Ensuring all locations meet the standards as laid out in our infection control policy. To include restocking and cleaning down rooms ensuring that infection control procedures are followed. 7. Meetings To attend various meetings in relation to the role. Any other reasonable duties as required NHUC believe in developing the skills of our workforce in order to meet future aspiration this includes providing funding for internal and external training courses where appropriate.
