If you’re looking for a career that will help you stand out and fulfill your potential, we are currently seeking an experienced individual to join our team in the role of Executive Assistant.
Role Responsibilities:
1. Diary management, email handling, administration of leadership meetings and other key committees, scheduling appointments on behalf of the Programme Office, planning and structuring programmes and itineraries across different time zones.
2. Proactively identify and resolve conflicting meetings as well as reminding and assisting in preparing for important meetings.
3. Exercise complete confidentiality in day to day activities due to the nature of information administered.
4. Deliver excellent service, responding to individual stakeholders and colleagues in the way they plan their time and carry out their duties.
5. Support and work alongside Global colleagues where appropriate.
6. Support the PMO team by providing clear instruction and follow up regarding information recording and minute taking.
7. Ensure all expenses and invoices are processed and paid within an efficient timeframe.
8. Organise international travel arrangements including booking flights and accommodation, arranging visas and planning itineraries.
9. Maintain programme whereabouts/holiday tracker.
10. Training tracking.
11. Work collaboratively with other assistants.

11. Ability to take responsibility for small individual projects (preparation, collation and distribution of information, as appropriate).

13. High levels of integrity, handling confidential information and sensitive matters in a professional manner at all times.
14. Ability to plan and structure programmes and itineraries across time zones to maximise the Programme Director’s time and interaction with a global team.
15. Previous experience working at a senior level in a large financial services organisation.
