About the role
We’re on an exciting mission to redefine our approach to Reward, companywide. The Reward Centre of Excellence (part of our HR function) is embarking on a transformation programme to reshape how we work - reviewing our processes, systems and structure so we can realise our vision to design and deliver reward solutions that unleash the full potential of our people. We’re looking for experienced (IT) Business Analysts to help us get set up for success.
Working with the Reward Transformation Director across a dynamic programme of projects aimed at driving significant business changes, you’ll play a crucial role by acting as the primary liaison between IT, project teams and business stakeholders. Your primary responsibility will be to gather business requirements and translate them into clear technical specifications, which will be instrumental in driving the necessary systems changes.
You’ll play a significant role in transformation by meticulously documenting existing business processes (current state) and identifying opportunities for enhancement and improvement. You will be required to fully understand business requirements and accurately document the data and processes needed to implement these changes. Utilising your skills and experience to focus on our user requirements, you’ll develop process maps and other business process management architecture to help improve and optimise our Reward processes.
To help us achieve this you will:
* Work closely with stakeholders to gather, analyse, and document business requirements. Translate these requirements into user stories, use cases, and acceptance criteria:
o Planning and leading workshops with stakeholders (at all levels) to capture requirements, operational information and business processes.
o Analysing existing process documentation to highlight gaps and issues that require rework during workshops.
o As-is and To-be Process mapping to various levels of detail using standard tools (i.e. Visio).
* Work closely with IT technical teams to translate business requirements into functional specifications, ensuring that proposed solutions meet both business and technical needs:
o Perform Impact of change analysis on business requirements to provide detailed change requirements to facilitate implementation.
o Identify and assess opportunities to remove customisations as part of our aim to standardise and globalise process and design wherever practicable.
o Work with key stakeholders to identify risks and innovations and deliver positive changes that drive improvements.
* In conjunction with the Project Lead, act as the main point of contact between business stakeholders and the tech team. Communicate project status, risks, and issues effectively.
* Transition knowledge of future state through the development of high quality Standard Operating Procedures (SOPs) and Work Instructions (WIs), and through ensuring appropriate training is provided to business users.
* Maintain detailed documentation of business processes, requirements, and project progress. Ensure all documentation is up-to-date and accessible to relevant teams.
* Support change management initiatives by providing clear documentation, user training, and stakeholder engagement to drive adoption of new processes and systems.
What we’re looking for:
Qualifications and skills
Essential
* Demonstrable experience as an IT Business Analyst in complex, global transformation projects.
* Proven experience contributing to or leading large-scale transformation initiatives, particularly in HR or reward-related functions.
* Very strong analytical skills with demonstrated ability to extensively analyse business processes and workflows, including process reengineering skills.
* High attention to detail and proven ability to manage multiple, competing priorities simultaneously.
* Strong change management skills and/or knowledge of best practice, including stakeholder communication, training delivery, and user adoption strategies.
* Experience working within Agile delivery methodology with an understanding of the system development lifecycle.
* Experience facilitating workshops and focus groups.
* Knowledge and experience of Workday (strongly preferred) or other HR Information Management Systems.
* Comfortable operating in complex, ambiguous and uncertain environments whilst maintaining the ability to make clear recommendations and decisions.
* Excellent communication (written and oral) and interpersonal skills, including the ability to translate complex business requirements into functional specifications that are easily understood by the business.
* Excellent facilitation skills, including design and delivery of workshops & other stakeholder engagement sessions.
* Ability to use best practice and knowledge to resolve complex problems and issues that may arise during the project lifecycle.
* Bachelor's degree/Certification in business process or equivalent qualifications/experience relevant to business analysis.
* High competence with MS Office and MS Visio and desirable (but not essential) to have experience of additional digital process mapping tools.
* Experience with collaboration tools such as JIRA, Confluence, and Miro to support Agile delivery and documentation.
* Proven ability to work effectively in cross-functional teams (especially across business process owners, IT technical teams, and external vendors), build relationships with stakeholders at all levels, facilitate and drive consensus in decision-making processes.
Preferred
* Knowledge and experience of Workday is highly preferred.
* Experience and/or knowledge with Veeva Vault is preferable.
* Knowledge and experience of Reward (compensation and benefits) processes would be beneficial.
* Experience in managing third-party vendors for system implementation or configuration.
* Understanding of cultural and legal considerations when designing global processes, particularly in reward and HR domains.
