We are seeking a highly skilled and proactive Executive Assistant to support our CEO in a dynamic and fast-paced environment. The ideal candidate will possess exceptional organisational skills, a strong attention to detail, and the ability to manage multiple tasks efficiently. This role is crucial in ensuring the smooth operation of the executive office and facilitating effective communication across the organisation. Our Head Office is in Poole, Dorset, but we have Tish studios with John Lewis. Some travel, mainly to London, will be required.
Duties
* Provide comprehensive administrative support to the CEO, including managing schedules, organising meetings, and coordinating travel arrangements.
* Prepare and edit correspondence, reports, and presentations using Microsoft 365 and other office software.
* Maintain an organised filing system for both physical and digital documents, ensuring easy access to important information.
* Handle data entry tasks accurately and efficiently, ensuring that all records are up-to-date.
* Manage incoming communications with professionalism, demonstrating excellent phone etiquette when interacting with clients and stakeholders.
* Assist in financial record-keeping using Xero, including invoicing and expense tracking (training given).
* Collaborate with other departments to facilitate projects and ensure alignment with executive priorities.
* Perform clerical duties such as photocopying, scanning, and maintaining office supplies.
Experience
* Proven experience as an Executive Assistant or in a similar administrative role is essential.
* Proficiency in Google Suite (Docs, Sheets, Slides) and familiarity with Xero is highly desirable.
* Strong organisational skills with the ability to prioritise tasks effectively in a busy environment.
* Excellent written and verbal communication skills are required for clear interaction at all levels of the organisation.
* Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
* A proactive approach to problem-solving with strong attention to detail is crucial for success in this role.
