Admin Officer - Barnet Civil and Family Court - Central Family Court
Contract: Until October 2025
Salary: £14.75 per hour
Location: Finchley, North London - Central Family Court - Holborn
Work Setting: 5 days a week
Note: Barnet Civil and Family Court is closed for 12 months, but the role is based at the Central Family Court in Holborn for 5 months, with a pay rate of £14.75 per hour.
This is a temporary contract role until October 2025 for an Admin Officer position, with an immediate start date (subject to compliance) for a five-month duration, potentially extendable. The role involves a five-day in-office work setting at a London location (Holborn).
Job Responsibilities:
* Preparing papers and files for court, tribunals, hearings, and meetings.
* Producing court/tribunal documents.
* General photocopying and filing.
* Creating and updating records on the in-house computer system and data input.
* Handling post opening and dispatch.
* Booking, preparing, and organizing meeting rooms, supporting training courses, and other group activities.
* Preparing meeting agendas, joining instructions, handouts, etc.
Drafting:
* Standard letters, correspondence, minutes, notes, reports, submissions, etc., following guidelines and instructions.
* Maintaining accurate and concise notes on operating systems following inquiries or case-related actions.
Operations:
* Clerking civil and family courts, tribunals, and hearings, ensuring papers and materials are current.
* Assisting court users, supporting listing and rota management, checking files.
* Contacting relevant parties, scheduling, serving court documents, executing warrants, collecting fines and fees, including use of chip and pin.
* Handling face-to-face inquiries and a broad spectrum of written and telephone inquiries.
* Participating in TIB (Team Information Board) meetings to ensure relevance and productivity.
* Problem-solving, assessing new SOPs, and contributing to small projects.
Processing Casework:
* Handling standard documentation, court orders, claims, fines, fees, and legal aid.
* Ensuring court records are accurate, interpreting information correctly.
* Working to workload targets in throughput and accuracy.
Checking and Verifying:
* Documents, records, accounts, claims, and returns against criteria, regulations, or procedures.
* Ensuring quality standards are met in compliance and administration documentation.
* Cross-checking and validating colleagues' work as required.
Information Gathering:
* Collecting data for reports, results, accounts, statements, warrants, and analysis.
* Interpreting source materials, preparing bundles, chasing information.
* Modifying and adjusting information to complete work efficiently.
* Preparing for daily TIB meetings.
Calculations:
* Producing basic statistical reports and processing financial information.
* Checking others' work, updating records, reconciling accounts, preparing invoices, and running reports.
* Managing limited sums of money on behalf of the office.
* Estimating and managing juror numbers efficiently.
Communication:
* Engaging with judiciary, court staff, external stakeholders, and service users to provide information, check facts, and deliver excellent customer service.
* Providing helpful, prompt, and accurate service to internal and external customers.
