The Role The Welcome Desk Host is a vital member of our organization, responsible for providing exceptional customer service and ensuring a positive experience for all visitors and employees. As a representative of Equinix, the host will play a crucial role in creating a welcoming and professional environment. Responsibilities: Greet visitors and employees in a friendly manner, and engage in conversation upon arrival and departure, as appropriate. Inform Equinix host that their guest is on-site and confirm whether to escort guests Observe and anticipate guests' needs (using information obtained from previous interactions with the guest, if possible); look and listen for opportunities to exceed guest expectations. Maintain orderly and presentable lobby Maintain a clean and organized reception area, ensuring it reflects our company's image. Coordinate visitor check-ins and security procedures via Envoy visitor management tool, ensuring compliance with company policies. Maintain awareness of potential office security issues and communicate concerning issues to local CRE metro lead, building security when appropriate, and risk management team Distribute security badges; reconcile visitor logs for badges and the EV charging station program Assist with scheduling and managing meeting rooms, including arranging necessary equipment and supplies. Assist with onboarding new employees, providing them with essential information and resources. Perform additional duties and responsibilities as assigned and coordinate special projects as needed Respond to emails and inquiries promptly, providing accurate and helpful information as needed. Ensure the timely delivery of professional communications to office, landlord and team members and provide follow up in a timely fashion Assist with receiving deliveries of all external and inter-office mail and support employees on all mail and shipping requirements as needed Provide direction, information to vendors, service providers and Corporate Real Estate staff as required to ensure excellent coordination Maintain Office space ticketing system and follow up ticket status, assigning tickets to CRE team and responsible for business card ordering Serve as a liaison between employees and various departments, addressing any workplace-related concerns or inquiries.
