Truline is seeking a highly organised and detail-oriented Fleet & Reporting Administrator to join our team. In this pivotal role, you will be the backbone of our administrative and information systems, ensuring seamless operations and providing crucial support to our senior management, regional transport managers, and external customers. Objective: To implement and maintain comprehensive, effective administrative and information systems which meet the team/business-specific requirements. To provide central support to Truline Senior Management, Regional Transport managers, transport hubs and external customers. The central support function will be key to help deliver the operational service across the network. Key Responsibilities: Data Management & Reporting: Updating databases and internal systems with accuracy and efficiency. Producing daily performance reports, management reports, and assisting with Key Performance Indicator (KPI) production. Fuel monitoring & reporting including Fuel Card control. Fleet Reconciliation: Process on-hire and off-hire documentation, ensuring accurate records and cost control. I nsurance Management: Maintain accurate insurance records andassist with claims processing when required. Communication & Supplier Liaison: Distributing communications effectively across the network. Liaising with suppliers to ensure customer requirements are met. Following up and providing feedback to line managers on supplier performance. Administrative Support: Producing and maintaining spreadsheets with precision. Identifying and supporting process changes, including document reviews. Supporting day-to-day transport administration desk activities, including: RTI, NoIP, PCN collation and reporting. Insurance documentation control. O Licence compliance. Comprehensive document management support (photocopying, scanning, printing, legal compliance). Handling telephone queries and resolving issues promptly. Dealing with costings and reconciliations. Any other duties as required by management. Person Specification: Essential: Strong leadership skills. Proven knowledge of administrative tasks. Excellent communication skills (written and verbal). Excellent problem solving and analysis skills. Attention to detail. Customer focused. Good IT skills MS Outlook, Word, Excel and PowerPoint essential. Ability to work well within a team, and take direction from different people and ability to manage conflicting priorities. Excellent time management skills. Proactive/self starter/ self-motivated.
