Job Summary
The PA/Administrator will provide comprehensive administrative support to the Director of Operations, ensuring the smooth running of day-to-day activities within the practice. The role involves managing schedules, coordinating meetings, handling correspondence, and supporting our compliance, reporting, and patient service delivery. The role will also deliver critical administrative support to the GP Partner team and undertake key tasks that are integral to ensuring the safe and efficient operation of Manor View Practice.
Key Responsibilities:
Administrative Support
* Provide full PA and administrative support to MVP’s Director of Operations, including diary management, minute-taking, and drafting correspondence.
* Provide diary management and administrative support for GP Partners, as requested.
* Organise and co-ordinate meetings.
* Manage the site’s meeting room diary.
* Manage MVP’s overall diary and calendar.
* Assist with the preparation of reports, presentations, and documentation for internal and external use.
* Edit MVP policies and protocols to ensure standardised presentation.
* Maintain accurate records of operational activities, always ensuring confidentiality.
Operational Co-Ordination
* Collate LEA/SEA forms – maintain an accurate register of all raised LEAs/SEAs and ensure timely submission of information to the Director of Operations.
* Manage and monitor DOO / GP Partners actions and tasks – assigning actions and prompt/support completion as required.
Communication
* Act as our Intranet Ambassador.
* Collate internal suggestions for MVP’s Staff Intranet – action where appropriate and possible, and signpost to our Digital Consultant to make changes.
* Disseminate LEA/SEA outcomes via email and add to Staff Intranet.
* Ensure signed off policies and protocols are uploaded to the Staff Intranet and/or MVP website in a timely manner.
* Disseminate MVP Risk Register with updates/additions, quarterly.
* Provide support to facilitate MVP Health Education events, protected learning time, staff events, and PPG meetings, as required.
Qualifications, Skills and Experience
* Experience in general practice desirable.
* Proficient in Microsoft packages.
* Excellent people and IT skills.
* Strong communication skills.
* Ability to work independently and as part of a team.
Other Duties
Our PA / Administrator may, from time to time, be asked to undertake other reasonable duties, with appropriate training. It is important that all members of staff are prepared to undertake additional or relinquish current duties to maintain service delivery to patients. It is expected that requests from the Partners will not be unreasonably refused.
