Job Description Our client is seeking a Practice Administrator to support their Adviser Team on a 12-month fixed term contract. The role involves preparing the team of two for client meetings, assisting with client management and ensuring outstanding service delivery to both existing and prospective clients. £25,000 per annum Kirton in Lindsey, DN21 Hybrid working Mon – Fri, 9am – 5pm, 1 hour lunch Driving License ESSENTIAL 25 days holiday bank holidays Major Activities and Responsibilities Responsibilities: Maintain an effective diary system to schedule client review meetings at appropriate times. Contact clients to book review meetings using a diary color-coding system and send confirmation letters/emails. Prepare meeting packs for Advisers, including valuations and relevant documents on the One Note system. Monitor and follow up on the return of meeting notes uploaded to One Note by Advisers. Record client meeting notes in the system, including e-briefings, Curo/CRMs, CRRs, Client ID, service questionnaires, and update review dates. Draft post-meeting letters for clients based on Adviser notes. Meet and greet clients attending onsite meetings, ensure the welcome screen is displayed in reception, and guests sign in to the Visitors Book. Update CFRs on the online system if Advisers do not undertake this duty. Send off Letters of Authority from client meetings, record them in a working spreadsheet, and follow up as required. Keep Advisers updated on progress. Process change of address requests, update systems, and notify administration centres. Update systems and administration departments about any death notifications following the Death Process. Inform Advisers of received documentation related to their clients and provide general support as needed. Act as a point of contact for clients, handling routine issues and queries. Arrange and send client celebration and sympathy cards as necessary. Skills and Experience: Strong administrator Background in financial services highly desirable Professional and warm telephone manner. Ability to understand the pressures on the Adviser Team and foster an effective two-way relationship. Team player.
