As a Facilities Assistant, you will be responsible for assisting with various tasks to ensure the smooth running of their facilities. Your main duties will include:
Principal Accountabilities
Assist in the delivery of Facilities Management services to a high standard. Identifying opportunities that will continuously improve all aspects of FM operations.
Opening, recording and distribution of all incoming mail - to ensure post and equipment is delivered promptly to all offices, sites and depots of the Group.
Carry out building & meeting room checks including coffee machine management daily, ensuring any issues are dealt with in a prompt and efficient manner.
Assisting the Facilities department with office moves and other general adhoc projects.
Organise and maintain records for invoices, expenses and financial records.
Act as point of contact for company departments and contractors ensuring lines of communication are maintained and regularly monitored.
Support and assist the Technical Service Manager and the team with administration requirements.
Liaise with service providers and contractors to ensure regular activities are undertaken.
Attend training and course as directed by the Facilities Manager
To ensure that Procedures are adhered to in relation to all purchase requisitions and invoices within Facilities.To be successful in this role, you will need to have a valid DBS Check and a keen attention to detail. Previous experience in a similar facilities role would also be advantageous. However, training will be provided for the right candidate.
