We are looking for a new Healthcare Administrator to join our Ipswich and Bury St Edmunds sites. This will be 40 hours over 5 days per week, including weekends on a rota basis.
Your responsibilities will include:
1. Managing the set up and utilisation of clinic diaries.
2. Booking patient appointments, ensuring that clinics are full.
3. Completing booking calls for patients and reminder calls prior to the appointment.
4. Generating patient letters, printing, and franking them ready to be posted out.
5. Acting as the central point of contact for all telephone enquiries from patients and clinic staff, resolving or escalating issues as appropriate.
6. Maintaining a positive relationship with internal or external staff at every interaction.
7. Committing to continued professional development and clinical governance, including participating in appraisal processes, clinical audits, and research as required.
8. Actioning all clinic cancellations accordingly as instructed.
9. Taking responsibility for reinstating clinics as necessary and rebooking all patients.
10. Implementing changes to clinic start/finish times as necessary for training, staffing, or other operational purposes.
11. Amending slot totals as necessary for restricted/reduced lists.
12. Coordinating the daily, weekly, and monthly clinic schedules.
13. Managing capacity and demand to achieve target utilisation while analysing and monitoring clinic activity.
14. Identifying any under or over capacity and escalating to the service manager.
15. Reviewing waiting times and actioning accordingly.
16. Identifying if additional clinics are required to reduce wait times and escalating this to the Service Manager.
This role involves carrying out various administrative duties, including booking patients into their appointments, making and answering phone calls, sending and replying to emails, managing the post, and dealing with enquiries. Our clinics are busy, so we are looking for someone who loves working in a fast-paced environment where every day is different.
We need someone who is incredibly customer-focused and enjoys meeting and talking to people. The thought of eye surgery can be a daunting prospect for patients, so all our team members need to be empathetic, friendly, and able to put patients at ease.
Essential Qualifications:
* Educated to A level standard or equivalent.
* GCSE Maths and English.
Essential Experience:
* Previous experience in a customer or patient-facing role.
* Experience in a busy administrative role.
* A competent user of all Office 365 programmes.
* Tech-savvy and comfortable working on new patient record systems.
* A good phone manner.
* An excellent grasp of the English language both verbally and in written format.
* A good team player happy to jump in and support others when required.
