We are seeking a Business Administrator for a full-time role based in Ealing, London. The ideal candidate will play a crucial role in ensuring the smooth operation of the office by providing administrative support and managing various clerical tasks. This position requires proficiency in data entry, excellent phone etiquette, and familiarity with office software. This is a fully office-based role. Hours of work are 9am to 5pm Monday to Friday (1 hour for lunch). Responsibilities Answer calls in a professional manner, taking and passing on messages to relevant staff members or teams. Meet and greet visitors and sign them in to head office. Distribute daily post and parcels to correct recipients. Use franking machine to prepare post including special delivery, signed for, and overseas letters. Arrange couriers, taxis, and minicabs as and when required. Book hire car requests and register vehicles on motor insurance database. Collate and order stationery requests as and when required. Check kitchen facilities daily and order/replenish stock as and when necessary. Co-ordinate sorting, storage, and collection of all recyclable items. Arrange replenishment and storage of consumables associated with cleaning and hygiene. Process operations and facilities related supplier invoices on a weekly basis. Assist the Business Support Coordinator to maintain records on company cars and drivers. Assist the Business Support Coordinator to manage external cleaners and ensure service is to a good standard. Assist with office opening and closing procedures to safeguard security and ensure the office is fully functioning every day. Cover the Business Support Coordinator as and when necessary, in areas such as landlines, mobile phones, insurance, company vehicles, hire cars and drivers. Facilitate UK&I staff to work from home as and when necessary and purchase furniture and office equipment. Candidate Specification Previous experience in an Office Administration or Business Support role. Excellent interpersonal and communication skills. Excellent phone manner. Good levels of numeracy and literacy. Computer literacy - familiar with Microsoft packages such as Word and Excel. Job Types: Full-time, Permanent Pay: £13.73 per hour Expected hours: 35 per week
