As an Events Coordinator, you will support the Events Manager in the delivery of all event elements – including planning, logistics, budget control, onsite delivery and event reconciliation. Types of events include company conferences, the Annual General Meeting, financial results presentations, internal and external stakeholder events, agricultural shows, senior leadership engagements and events with charity partners eg. Grocery Aid. The Hiring Manager for this vacancy is Michele Charles You will be responsible for: Working on multiple events concurrently, taking ownership of elements of each event, including both on- and off-site events (Some UK-wide travel will be required for this role (including occasional overnight stays) in order to deliver events) Creating event proposals for senior stakeholders, maintaining strong communication with all event stakeholders throughout the event process Coordinating planning meetings to maintain event progress, assisting with the creation of pre-event documents Supporting with turning event brief into final event, working on all logistical requirements Researching and booking suitable venues/meeting rooms/event space/ confirming room layout and any AV requirements Arranging catering/menu selection/food tasting if required. Researching and booking third party suppliers if required (e.g. team activities/facilitators/speakers/entertainment) with clear briefs Managing delegate websites & attendance responses/dietary requirements/syndicate grouping/table plans as required Briefing and managing both internal teams and external agencies to support event delivery Keeping track of event spend and raising POs in a timely fashion to ensure all suppliers are paid appropriately. Remaining cost conscious when planning event specifications being mindful of Save to Invest Providing on-site event support.
