Due to unforeseen circumstances, we are now in a position to re-advertise for the role of Medical Secretary. Springwood Surgery is looking to recruit a part-time Medical Secretary to join our surgery team. The post is currently for 24 hours per week. We are a busy general practice, so we are looking for someone who can work under pressure and on their own initiative. Training will be given to the successful candidate.
Main duties of the job
The role of a Medical Secretary includes preparing agendas and taking minutes of meetings, actioning patient referrals, requests for medical records, invoicing, and communicating with secondary care and other healthcare agencies. A medical secretary will also communicate with patients directly, and therefore it is imperative that patients are greeted in a cheerful and friendly manner. Job responsibilities
1. Preparing agendas/meeting packs with enclosures.
2. Taking meeting minutes, typing up, and distributing to relevant personnel.
3. Maintaining back files of minutes.
4. Audio/copy typing of Private/NHS referrals.
5. Maintaining a record of 2 Week Rule referrals.
6. Using the electronic booking system.
7. Logging and distributing medical requests and insurance forms.
8. Maintaining an up-to-date record system on payment and receipt, ensuring outstanding invoices are followed up and paid.
9. Sending off expense forms to the appropriate Health Authority.
10. Arranging the photocopying of patient records within the bounds of the Data Protection Act. Ensure payment is received from solicitors before copies are sent.
11. Maintaining an accurate record of petty cash.
12. Dealing with queries from patients and outside organisations.
13. Maintaining an up-to-date list of consultants' contact numbers and waiting times.
14. Undertaking any clerical duties when necessary.
15. Conforming with all protocols and procedures in the Practice.
16. Other miscellaneous duties as delegated by the Practice Manager or GP Partners.

Person Specification
Experience
* Experience of working in a busy NHS environment, preferably in a GP practice.
* Good communication skills are imperative.
* Ability to prioritise.
* Able to work effectively on own as well as in a team.
Qualifications
* Previous experience of working in a hospital or GP practice is essential, as well as previous experience using SystmOne.
* Previous experience working in a capacity as a secretary.
* Use of the electronic booking system. Previous experience of minute taking is desirable.
* Knowledge of medical terminology.
* Knowledge of invoicing.
