What is the role?
We are looking for a Executive Assistant and Office Manager to join our team. This role requires a proactive and highly organized individual to act as Office Manager/Executive Assistant. The role will provide comprehensive support to our CEO and will ensure the smooth operation of our office environment in Farringdon. You will be responsible for managing various administrative tasks, coordinating office activities, and act as the primary point of contact for internal and external stakeholders.
What will you be doing day to day?
CEO Support:
1. Provide high-level admin support to the CEO and CFO, including managing calendars, scheduling meetings, papers and coordinating travel arrangements.
2. Prepare and organize documents, presentations, board papers and reports for meetings and presentations.
3. Act as a liaison between the Exec and internal/external stakeholders, ensuring timely and effective communication.
4. Project co-ordination, dealing with highly confidential information, working with other members within the business to ensure projects/tasks are completed in a timely manner.
5. Ad-hoc support to the Exec team where required.
Office Management:
1. Oversee the day-to-day operations of the office, including managing office supplies, equipment, and facilities.
2. Coordinate office maintenance and repairs as needed.
3. Implement and maintain office policies and procedures to ensure efficiency and compliance.
4. Manage health & safety for the office.
5. Plan and coordinate company events, meetings, and conferences, including logistics, catering, and accommodations.
6. Foster a positive and collaborative work environment by offering assistance and support to colleagues.
7. Other ad-hoc tasks.
What experience do you need to be successful in the role?
1. Proven experience as an executive assistant, office manager, or similar role.
2. Strong organizational and time-management skills, with the ability to multitask and prioritize tasks effectively.
3. Excellent communication and interpersonal skills, with the ability to interact professionally with individuals at all levels.
4. Proficiency in Microsoft Office Suite, Canva and other relevant software applications.
5. Attention to detail and a high level of accuracy in all work.
6. Ability to maintain confidentiality and handle sensitive information with discretion.
