Team Administrator Band 3 (NHS AfC)

Early Intervention in Psychosis Service has an exciting opportunity to join the Brighton Team as Team Administrator.
We are a friendly and supportive multidisciplinary team who work with people aged 14 - 65 who are experiencing their first episode of psychosis. Our hours are Monday to Friday 9am to 5pm. The post is based at Aldrington Centre in Hove.
We are looking for a team administrator with a genuine interest in working in a mental health community team, who will work alongside the team leader and team colleagues, assisting with the smooth running of the office base and support service delivery. You will be embedded in the clinical team, making this role suitable for someone interested in a career in a clinical profession. We actively support our non-clinical staff to take up opportunities offered for apprenticeships in nursing, social work, and OT, allowing you to train while you earn and progress to clinical professional roles.
Main duties of the job
Tasks will include: taking phone calls from service users, their families and professionals, minute taking, typing clinical letters, and helping to maintain and input data for various audits and systems needed for the smooth running of the service. (You may be the first point of contact for people experiencing emotional distress. Further training in understanding psychosis and other mental health difficulties can be provided to support you in your role).
We are looking for someone to join our enthusiastic and dedicated team, who is willing to provide administrative support to the whole team. You will possess strengths in planning and organizational skills, excellent time management, and the ability to adapt and respond to the challenges of change and development of an exciting service.
Further training can be provided for this and other NHS systems if required.

The Brighton EIP team is one of 6 Early Intervention in Psychosis teams provided by the Trust. The teams have a single service-wide governance group overseeing and leading the delivery of care. Organizationally, the teams sit within the Trust's Specialist Services Division.

Job responsibilities
1. Support services: To provide effective secretarial support including diary management, phone calls, and typing correspondence, producing documents to a good standard using Trust templates, in line with Trust guidelines.
2. To arrange, prepare the agenda for, and take minutes of team meetings and other meetings as directed.
3. To maintain records of sickness/absence/leave for the team.
4. To maintain up-to-date staff details including emergency contact details.
5. To provide/obtain reports and data as required.
6. Administration: To provide a comprehensive and professional secretarial and administration service to the team.
7. To operate and update computerized database systems, including trust systems and any bespoke systems local to the team.
8. To provide support to colleagues regarding difficult or anxious service users, carers, and relatives, whether face-to-face or over the phone.
9. To organize any additional resources required for appointments or meetings, for example, interpreters.
10. In conjunction with the manager, set up and continue to develop effective administrative services to ensure a timely and efficient service to the team, service users, and associated individuals, including communication systems, referral and discharge systems, and personnel records.
11. To maintain an overview of the administration function and workflow within the team, discussing any areas of concern with the manager.
12. You'll be supervised by the Team Administration Co-ordinator, delegating responsibilities, monitoring performance, and maintaining high standards and good practice among the administrative staff and systems.
13. To ensure adequate cover is provided among administrative staff during times of annual leave, training, and sickness.
14. To take a role regarding building-wide protocols, including moving equipment, phone lines, and building security.
15. To take responsibility for the effective use of office and clinical supplies.
16. To manage petty cash floats and any other financial procedures in line with Trust procedures.
17. Order stock and non-stock items on the Oracle system.
18. To carry out any other duties in line with the grade and scope of the post, working as part of the team and covering as necessary for annual leave and sickness.
19. To assist with any additional duties the clinical team may take on.
20. To act as a resource on ICT matters, as appropriate.
21. To participate in the Trust's supervision and appraisal system.
22. To ensure that essential training is maintained and up to date, attending any local training/development sessions as appropriate.
Person Specification
Qualifications
* NVQ 3 in Business & Administration or evidence of equivalent practical experience.
* Good standard of secondary education; GCSE at Grade C or above.
Knowledge/Experience
* Significant experience of a range of secretarial procedures.
* Significant experience of working as an administrator or secretary.
* Experience of office and resource management.
* Experience of supervising others.
* Experience of producing documents to a high standard of presentation with good accuracy.
* Experience of maintaining office systems.
* Experience of generating own correspondence.
* Experience of working as part of a team.
