The Property and Maintenance Coordinator will be responsible for overseeing all aspects of property maintenance, repair, and compliance across the trust’s properties and outdoor spaces. This role ensures that the property owned by the charity is managed efficiently, in line with relevant legislation, and in accordance with lease agreements. This position is essential in maintaining safe, secure, and well-maintained facilities for tenants and for the longevity of trust assets.
Key Responsibilities
· Legislative Compliance:
o Ensure all property management activities adhere to relevant legislation, including health and safety, fire safety, and environmental regulations.
o Maintain up-to-date knowledge of property-related legislation and provide guidance on its implementation.
· Contractor Management:
o Coordinate with and manage external contractors for maintenance, repairs, and improvement works.
o Oversee contractual relationships, ensuring that work is conducted according to agreed standards and terms.
o Work with external consultants on the preparation of leases.
o Negotiate energy and utility contracts with suppliers
· Maintenance Planning:
o Develop and implement cyclical maintenance plans for repairs, servicing, and replacement of assets.
o Schedule and respond to emergency repairs and unplanned maintenance needs.
· Repairs and Improvement Projects:
o Identify specific repairs or improvement works required and oversee the tendering process to obtain quotes.
o Manage contractor work from start to completion, ensuring quality and adherence to budgets.
· Lease and Tenant Liaison:
o Liaise with tenants to ensure they fulfil their obligations as outlined in their lease agreements.
o Work with estate agents, solicitors, and trustees on lease matters, lease renewals, and property negotiations.
o Support the recruitment of future leaseholders and assist in drafting and finalizing lease agreements.
· Property Inspections and Inventory Management:
o Conduct regular inspections of trust properties to assess the condition and identify any maintenance needs.
o Maintain an accurate inventory of maintenance tools and equipment and ensure they are regularly inspected.
· Record Keeping and Reporting:
o Keep detailed and accurate records of maintenance activities, contractor work, and property inspections.
o Prepare and present regular maintenance reports to the trustees, including updates on ongoing projects and future maintenance needs.
· Health and Safety:
o Ensure compliance with health and safety standards across all properties.
o Conduct risk assessments as needed and implement measures to mitigate risks to tenants, contractors, and the public.
Essential Qualifications and Experience
· Education: Relevant qualifications or demonstrable experience in Property Management, Facilities Management, or Building Services. Equivalent experience in a related field will also be considered.
· Experience:
o Proven experience in property management, facilities coordination, or maintenance supervision.
o Experience working with contractors and managing maintenance projects.
o Familiarity with relevant property legislation, health and safety regulations, and environmental standards.
· Skills:
o Strong organizational and project management skills.
o Excellent communication and negotiation abilities.
o Strong problem-solving skills, with the ability to respond to emergencies promptly.
Additional Information
This position requires some short local travel between properties.
Due to the nature of the role, the individual should have a flexible approach to working hours and be available to respond to emergencies outside of standard working hours if necessary.
