JOB TITLE: Customer Services Administrator
REPORTS TO: Head of Sales
JOB TYPE: Permanent – Full Time
WORKING HOURS:
Monday to Thursday: 9am-5pm
Friday: 8am-3pm
SALARY: £26,000 - £30,000 per annum (DOE)
LOCATION: 4 Portna Road, Rasharkin, Ballymena, Co. Antrim, BT44 8SX
About The Role
JOB PURPOSE
As a Customer Services Administrator, you will play a critical role as the primary contact between external customers and the company, ensuring cohesive communication and exceptional service
Key responsibilities include providing first-class sales support to the Sales Team, managing customer orders efficiently, and addressing any issues promptly. The role also involves coordinating between customers and internal departments to facilitate a smooth order process

DUTIES/RESPONSIBILITIES
* Process customer orders efficiently, ensuring accuracy, timely fulfilment, and smooth delivery.
* Be the first point of contact for customers, handling queries and resolving issues professionally.
* Monitor order performance, tracking key metrics such as order accuracy, fulfilment rates, and delivery timelines, while identifying areas for improvement.
* Provide reports on order performance, offering insights to support decision-making and service enhancements.
* Collaborate with internal teams to resolve order-related challenges and drive efficiency.
* Keep customers informed with timely updates on order progress, potential delays, and delivery schedules.
* Identify and implement ways to enhance our service, ensuring a better customer experience.
* Support the Sales Team in preparing quotations and ensuring all relevant documentation is in place.
Education Attainments
* Maths and English Language Grade C or above (or equivalent)
* Customer service or management certifications (e.g., NVQ, ILM)

Job Experience and Training
* A minimum of 1 year’s experience in a Customer Service position
* Able to liaise with departmental leads to ensure we are meeting our customer service SLA’s
* Experience in a manufacturing or logistics environment

Specialist Knowledge
* Experience in customer service operations in a fast-paced environment with an emphasis on timely resolution and customer satisfaction
* Familiarity with ERP systems for order management and recording customer interactions

* Able to multi-task and work in a dynamic environment/adjust to change quickly, with the ability to prioritise effectively
* Excellent communication skills with the ability to manage relationships
