Job summary We are seeking a highly organised and detail-oriented Workflow Administrator to join our team. The ideal candidate will be supporting our Clinical Team by processing clinical correspondence in a timely, safe and efficient manner ensuring that medical records are up to date when needed. The role of the Workflow Administrator is crucial in accurately coding patient medical records, ensuring compliance with coding guidelines. This position requires a strong understanding of medical terminology and excellent attention to detail. Experience of working in the medical setting would be desirable but not essential as training will be given. Main duties of the job Regularly check the surgerys email accounts related to your role and action any emails that have arrived, importing them into the workflow system. Process ALL practice correspondence (paper, electronic and email) that come into the practice via the workflow platform in SystmOne working methodically to a prescribed protocol coding all information required on the letters including numerical values. actioning all clinical letters, forwarding workflow to other departments for their action (eg. Pharmacy, reception, staff who manage recalls for things like safeguarding, mammograms, and smears etc). I Identify the complex or higher risk areas that require input or knowledge from the clinical team and forward the workflow to them. Manage the pathology links daily, assign the reports without patients/recipients and re-assign results when a member of staff is on annual leave. You will work closely with the practice administrators and clinical team to ensure that you are providing a streamline and timely workflow of patients correspondence. Identify areas for potential improvement in processes and systems using the experience of workflow and undertake experimental ways of working to test ideas for improvement. Be instrumental in sharing ideas for improvements and changes for the workflow role. About us Village Surgery is located near to the centre of Bournemouth, situated next to Bournemouth and the Arts University. We currently have 9,500 patients registered at the surgery, we have 5 GP's who are supported an ANP, a team of nurses and other healthcare professionals. We are a training surgery with 1 GP Trainer.
