We are looking for a talented Compliance Administrator to join the team in Derby. This is a new role in the team and your previous experience in scheduling or resource planning will be of benefit to undertake this position.
Main Duties & Responsibilities
1. Responsible for the end-to-end scheduling and management of Portable Appliance Testing (PAT) including the planning of work with the Sub-Contractor, liaising with FM’s to obtain approval for attendance.
2. Upload the completed documentation to various portals/sharepoints.
3. Liaise with the Sub-Contractor to ensure regular catch ups take place.
4. Accurately record all the information necessary for the PAT testing scheduling.
5. Monitor to achieve agreed service levels to keep customers informed of the progress of any ‘ad-hoc’ PAT testing requests raised.
6. Resolve or escalate any issues with the PAT testing sub-contractor if they arise.
7. To develop and maintain a good understanding of the JLL Corrigo application.
8. Carry out amendments to the planned maintenance schedules and asset data in JLL Corrigo (CAFM system).
9. Raise Work Orders on the Corrigo system.
10. Assist the Asset Manager with the administration of asset verification, asset management and associated documentation. Upload documentation to various portals/sharepoints.
11. Assist the Compliance Supervisor to review and progress any engineering defects that are raised during PM inspections.
12. Assist the Capital Planning Manager with associated administration tasks and attend meetings as required with Rolls-Royce or their nominated persons.
13. Review any remedial actions following audits and inspections with the FM’s to assist them to progress the actions to closure (e.g., Fire Risk Assessments, Site Audits).
14. To be prepared to work on any projects and initiatives at short notice to support the changing needs of the business.
15. Update SharePoint and various portals for the Asset & Compliance Team on request.
16. Request purchase orders following the receipt of quotes.
17. Maintain several electronic filing locations.
Qualifications & Experience
1. Experience of working within a work order/scheduling/mobile resource planning/FM environment is advantageous.
2. Experience of CAFM system and knowledge of PPM scheduling is an advantage.
3. Able to understand and act on both verbal and written instructions/procedures.
4. Computer literate in Word and Excel as a minimum.
5. Experience of working in a customer service environment.
6. Excellent communication skills – both written and verbal – with high attention to detail.
7. Confident to manage own workload and understand how to prioritise your own workload.
8. Ability to stay calm in a high-paced environment.
