We are recruiting for an Administrator on behalf of our prestigious client in Shrewsbury. The ideal candidate will have excellent communication skills, a keen eye for detail, and the ability to multitask effectively. Strong organisational skills are essential, including the ability to prioritise workloads and meet deadlines. A minimum of GCSE grade C (or equivalent) in English and Maths is required, along with proficiency in Microsoft Word, Excel, and Outlook. You should be comfortable working both independently and as part of a team, with the adaptability to handle shifting priorities in a dynamic environment.
Your responsibilities will include:
1. Dealing with incoming and outgoing telephone calls.
2. Taking and making phone calls.
3. Corresponding with conveyancing solicitors and communicating with internal departments.
4. Responding to pre-contract enquiries.
5. Responding to re-mortgage enquiries.
6. Advising on requirements for transfer of equity transactions.
7. Providing up-to-date Debtor History Reports to solicitors.
8. Liaising with internal Accounts and Property Management departments.
9. Providing administrative assistance to the team.
10. Photocopying.
11. Scanning.
12. Filing/reviewing files.
13. Responding to emails.
14. Reading and interpreting legal documents.
15. Adhering to company policies and procedures including confidentiality, equal opportunities, health & safety, and information security.
Further responsibilities include:
1. Producing Information Packs.
2. Responding to emails following the issuance of Information Packs.
3. Dealing with post-completion documentation, ensuring all requirements are met, and legal documents are acceptable before closing the file and issuing relevant responses and documents (e.g., Certificate of Compliance and Share/Membership Certificates) to the solicitor and sending the file to our internal Set Up department.
4. Maintaining company records, handling annual returns, appointments, resignations, and change of Director details, and submitting these to Companies House in accordance with Company Law.
5. Updating shareholder records.
6. Involvement with Lease Extensions and Deed of Variations.
7. Undertaking Land Registry searches.
