Work
As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.
What you’ll do at work
Duties will include, but will not be limited to:
* Undertaking reception/front-of-house tasks such as; answering the phone, handling voicemails, taking messages and transferring calls
* Maintaining stock of office supplies and goods
* Meeting and greeting visitors and clients as they enter the office.
* Monitoring emails
* Handling post, in and out using the franking machine
* Dealing with internal and external customers/clients/agencies on request from supervisor/colleague
* Taking concise and accurate messages and ensuring they are directed to the right people
* Preparing documentation for colleagues- Attending to photocopying, binding, laminating, filing and such other duties as are required to provide full support to the team
* Updating client information on matters within the department on our internal client software
* Arrange face-to-face and telephone appointments on behalf of other staff members and maintain the department's diary alongside your colleagues
* Using the internal computer system Leap, intelliworks and Outlook email/diary
* Undertaking any other tasks/duties as may be reasonably required

Course contents
* Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
* Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
* Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
* Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
* Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Your training plan
The apprentice will work towards their Apprenticeship Standard in Business Administrator Level 3.
The programme is mainly work-based, with the requirement of College attendance once a month. The candidate will receive support and guidance from a dedicated work-based trainer throughout the apprenticeship. The candidate will complete learning at their place of employment or College, within their contracted working hours

Other requirements
All relevant training will be given. The apprentice administration role we have available is to assist all areas of the practice from reception duties through to assisting secretarial staff and solicitors. Confidentiality, discretion and a mature attitude is required at all times.
