Job Title: Events Administrator (Full-Time, Permanent)
Salary: £22,857 + depending on experience
Hours: 36 hours per week (Monday to Friday)

About the role
Are you enthusiastic about helping to organise great events and providing excellent customer service? Are you able to assist with managing multiple projects, ensuring they run smoothly, stay within budget, and are completed on time?
The European Consortium for Political Research (ECPR), Europe's largest Political Science association, is seeking an Events Administrator to join its team. The successful candidate will support the Events Team by handling event queries via email, manage the delivery of a portfolio of academic events, including conferences, workshops, seminars, and training courses held both in-person and online across Europe.
This is a great opportunity to support a variety of tasks, such as assisting in organising social programmes, coordinating academic panel schedules, creating content, supporting relationships with stakeholders and suppliers, assisting with on-site event setup and management, and configuring the event website.

You should be able to work independently as well as part of a team. Excellent written and oral communication skills, as well as customer service skills, are essential for this role as it will involve working with a diverse group of stakeholders from across Europe.

Detailed Job Description:
1. Ensure that enquiries related to events are handled efficiently and comprehensively by providing relevant information and offering support where required.
2. Assist with and contribute to events preparations by carrying out specific tasks and projects as directed.
3. Create and maintain comprehensive event documentation, plans, and reports using in-house and third-party systems.
4. Create event content on the website using the ECPR’s event management system.
5. Continuously monitor event progress throughout its life cycle, proactively addressing any disruptions or delays to ensure timely resolution.
6. Liaise with internal and external stakeholders regarding travel and accommodation requirements.
7. Support onsite events at Harbour House and/or other event locations.
8. Support the creation and maintenance of high standards of presentation of event spaces.
9. During the event, ensure hospitality spaces continue to be compliant with health and safety policies and are productive and flexible environments.
10. Monitor and report incidents and accidents during the event.
11. Ensure safety measures are in place and the reputation of ECPR is safeguarded during events.
12. Create surveys for each event in conjunction with the Marketing team and the Data Analyst.
13. Attend events, functions, and meetings positively and professionally representing ECPR, when required.
14. Undertake any other duties commensurate with the purpose and remit of the post.
