We are looking to appoint a part-time receptionist/administrator to join our friendly practice team. The role is 17 hours per week working:
Monday 1pm - 6pm
Friday 8am - 1pm.
The ability to work extra hours as and when required is desirable.
Our ideal applicant should be enthusiastic, hard-working, possess excellent organisational skills, and communicate effectively verbally and in writing. They should be resilient and able to work under pressure.
Main duties of the job
Your role will be to undertake general receptionist and administrative duties to include but are not exclusive to:
1. Answering telephone calls and taking appropriate action.
2. Dealing with patients and visitors who attend the practice.
3. Providing administrative support to the clinical team.

Springfield Surgery is a family medical practice serving approximately 7,500 patients in and around Bingley. We are dedicated to delivering personalised care and aim to maintain the highest standards of healthcare.
Our team includes 8 GPs, 2 Clinical Pharmacists, 3 Practice Nurses, 1 Healthcare Support Worker, 9 Reception and Administration staff, an Office Manager, and a Practice Manager.
As part of the Bingley Primary Care Network, we collaborate closely with other GP practices in our area.

Job Summary
The purpose of this role is to:
1. Provide general assistance to the practice team while projecting a positive and friendly image to patients and visitors, both in person and via the telephone.
2. Greet, assist, and direct patients efficiently, ensuring they access the appropriate healthcare professional or service in a courteous and effective manner.
3. Undertake a variety of administrative tasks to support the smooth running of the practice, including providing secretarial and clerical support to clinical staff and other team members.
4. Facilitate effective communication between patients, the primary healthcare team, secondary care providers, and other associated healthcare agencies.
Duties and Responsibilities
The duties and responsibilities of the practice administration team may include any or all of the following tasks. Duties may vary under the direction of the Practice Manager or Office Manager, depending on evolving practice needs and staffing levels:
1. Opening and locking up the practice premises, maintaining security in line with practice protocols.
2. Processing personal and telephone requests for appointments, home visits, and telephone consultations, ensuring callers are directed to the appropriate healthcare professional.
3. Handling incoming and outgoing mail, including distribution as required.
4. Taking messages and relaying accurate information promptly.
5. Filing and retrieving paperwork efficiently.
6. Processing repeat prescriptions in accordance with practice guidelines.
7. Carrying out computer data entry, data allocation, collation, and information processing in line with practice procedures.
8. Initiating contact with, and responding to requests from, patients, team members, and other healthcare providers or agencies.
9. Clearing and re-stocking consulting rooms as needed.
10. Providing clerical assistance to practice staff, including word processing, data entry, filing, photocopying, and scanning.
11. Preparing refreshments for staff and visitors and maintaining cleanliness in the kitchen area.

Qualifications
1. GCSE grade A to C in English and Maths.
2. Good standard of IT skills (word, excel, and email).
3. Excellent customer service skills both over the telephone and in person.
4. Able to work to deadlines.
5. Able to prioritise work.
6. High degree of flexibility, ability to work alone and as part of a team.
7. Experience of System One.
