Personal Assistant / Secretary Location : Coventry, on-site Salary : £28,000 - £35,000 Job Type : Full-time Latham & Bond HR are recruiting for our client, a well-established automotive manufacturing organization. We are looking for an experienced Personal Assistant/Secretary to provide high-level administrative and secretarial support to senior leadership. This role is well-suited to a proactive individual with strong organizational skills and experience in a legal environment. Key Responsibilities Executive Support : Provide direct administrative and PA support to senior leadership, ensuring smooth daily operations. Manage diaries, schedule appointments, and organize meetings, ensuring effective time management. Act as the first point of contact, handling correspondence, emails, and calls in a professional manner. Meeting & Documentation Management : Prepare agendas, take accurate meeting minutes, and follow up on action points. Draft, proofread, and format reports, legal documents, presentations, and correspondence. Maintain organized records and filing systems, ensuring all documentation is up to date. Travel & Event Coordination : Arrange and manage travel itineraries, including flights, hotels, and transportation. Coordinate business events, conferences, and team meetings as required. Legal & Confidentiality Support : Work closely with the Head of Legal, handling confidential and sensitive documents with discretion. Assist with reviewing contracts, legal paperwork, and compliance documentation. Ensure all legal records and files are maintained and easily accessible when required. Administrative & Office Management : Oversee general office administration and coordinate office supplies and resources. Support senior leadership with ad-hoc administrative duties to ensure efficient workflow. Handle expense reports, invoice processing, and budget tracking for the department. Skills and Attributes Proven experience as a PA, Executive Assistant, or Legal Secretary. Legal sector experience (either working in a law firm or supporting a legal team) is highly desirable. Strong diary management, organizational, and prioritization skills. Excellent communication and interpersonal skills with a professional demeanour. High attention to detail, particularly in document preparation and proofreading. Ability to handle confidential information with utmost discretion. Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and document management systems. Ability to work autonomously, take initiative, and problem-solve effectively.
