PURPOSE OF THE ROLE
The Fleet Controller ensures the efficient and safe operation of the company’s fleet by managing daily tasks, overseeing maintenance, ensuring compliance with safety regulations, and maintaining seamless communication between departments. This role is critical to optimizing fleet performance, minimizing downtime, and supporting the company’s logistics and distribution objectives.
Key Responsibilities
Fleet Management:
* Ensure pre-trip checks are completed for all vehicles and review all reported matters and take action according to urgency level of defects.
* Investigate and report fleet-related issues.
* Optimize fleet usage by allocating resources effectively and maintaining performance tracking.
* Monitor the truck scorecard for performance on truck level and take corrective action where required.
Fuel Management:
* Monitor daily fuel usage and submit reports as required.
* Clear any fuel exceptions and investigate reduced fuel efficiency on truck level. Take corrective action where required.
Fleet Maintenance:
* Schedule and coordinate vehicle services as per requirements.
* Review job cards and ensure maintenance is completed promptly.
* Maintain accurate fleet records, including records regarding fuel usage and fleet maintenance (services and repairs).
Fleet Image:
* Ensure a good fleet image through appropriate maintenance of the fleet.
* Compile and monitor weekly truck washing cleaning schedules and ensure vehicles are maintained to hygiene standards and supports our brand image.
Safety & Compliance:
* Conduct safety checks and ensure vehicles meet legal standards.
* Address workplace risks and manage compliance-related tasks.
* Manage fleet service providers in line with safety and compliance standards.
Fleet Availability:
* Ensure fleet availability meets delivery capacity requirements and delivery daily communication to all stakeholders, including Distribution and Planning.
* Ensure a fleet breakdown system is in place and handle breakdowns efficiently and ensure minimal disruption to operations.
Cost Management:
* Drive cost efficiency by promptly addressing fleet defects.
* Compare service provider quotes and form partnerships with value-driven vendors.
* Manage fleet related costs within budget.
Reporting, Communication And Team Management:
* Conduct team meetings in line with guidelines, and ensure all staff are well informed and equipped for the role they are in.
* Manage fleet team members in terms of time and attendance and performance.
* Coordinate with departments to maintain fleet availability and resolve issues.
* Collaborate with other controllers to deliver an optimal Logistics Service to both internal and external customers.
* Update daily, weekly and monthly KPI boards.
* Provide monthly reporting as required.
* Adhere to Health and Safety requirements within the team as required.
