About the Job
You will provide professional, diligent, and proactive administrative support to the Group Commercial Director, Heads of Commercial and the wider Group Commercial department. We're a hard-working team of commercial professionals who support Unipart's growth strategy. Our work is fast-paced and varied, from straightforward contract renewals to complex bids and negotiations. Reporting to the Group Commercial Director, you will support the day to day running of the Group Commercial Department, including managing complex schedules, coordinating meetings and events, supporting recruitment and onboarding, maintaining confidential documentation, and providing administrative support to the Contract Management System.
As part of your key responsibilities you’ll:
Proactively manage and maintain management team calendars, scheduling meetings, appointments, and travel arrangements, anticipating potential conflicts and implementing effective solutions
Coordinate and prepare for meetings and events, including agenda development, presentation preparation, minute-taking, and logistical arrangements
Support with the smooth recruitment and onboarding of new starters into the team, including interview and assessment coordination, ordering of IT and other essential equipment and software, organisation of induction meetings and site tours
Support to the administration and organisation of internal training courses run by the commercial team, including coordinating invitations and other logistical arrangements, presentation preparation and ensuring training tools are available as required
Maintain and organise confidential legal, corporate and departmental documentation, both physical and electronic, to ensure easy retrieval
Provide administrative support as required to the implementation and ongoing use of the Contract Management System, including coordination of data inputs and dashboarding
Serve as the primary point of contact for the team, professionally handling inquiries, correspondence, and phone calls, seeking out information and responding in a timely manner
Provide administrative support to wider commercial team as appropriate, including coordinating and facilitating communication within the department and supporting expense claims
Collaborate with divisions/other functions to gather information and ensure timely completion of tasks and projects
Support project-related tasks, such as data entry, document preparation, research, and tracking progress
Handle sensitive and confidential information with the utmost discretion and professionalism, adhering to ethical standards and maintaining confidentiality in all aspects of the role
Undertake additional tasks and responsibilities as assigned by the Group Commercial Director or the Heads of Commercial, adapting to changing priorities and business needs
About You
We’d love you to have the following skills and experience, but please apply if you think you’d be able to perform well in this role!
Proven experience as a personal assistant or team administrator, ideally with experience communicating with C-Suite level executives
Excellent communication skills, both written and verbal and a strong attention to detail and accuracy
Exceptional organisational and time management skills, with the ability to prioritise and manage competing priorities and adapt to changing deadlines
Proficiency in both G-Suite and Microsoft Office Suite
The ability to handle sensitive information with discretion and maintain confidentiality
A proactive, solutions-oriented mindset and a ‘can-do’ attitude, along with the ability to thrive in a fast-paced environment
Experience with commercial and legal terminology is advantageous but not essential
