Moorfields Eye Hospital are searching for an enthusiastic Band 4 Medical Secretary to join their highly skilled and motivated team.

THE POST
To provide a high level, comprehensive and confidential administrative management support to the Service Director and a team of Consultants. To manage your own workload to ensure clinical correspondence is produced and turned around in accordance with Trust target timescales. To have a comprehensive understanding of the work of the service and using knowledge, initiative and skills to their full potential in order to significantly contribute to the smooth running of the service.
MAIN RESPONSIBILITIES
* Proactively manage phone calls and voicemail systems, dealing with patient queries in an efficient, informative and caring manner; and calls from healthcare professionals who require assistance or information for their patients’ care.
* Keep diaries for the Service Director and Consultants and liaise with relevant personnel regarding planned absences, including clinic profiles, operating schedules and meetings.
* Support Service Director by arranging and attending meetings as note/minute taker, preparing and promptly issuing agendas and minutes e.g. Consultant Service and Clinical Governance meetings.
* Proactively manage the clinical correspondence workload for the Service, ensuring oncology and urgent correspondence is managed to tight deadlines. Ensuring Medical Secretariat performance targets and Key Performance Indicators are achieved.
* Arrange teaching days or sessions within the service as and when required.
* Maintain and update any files, records or directories used by the service director and consultants, including any filing systems, ensuring these are kept accurate and current for reference purposes.
* Type non-clinical correspondence and documents for the service director.
* Open the consultant post, understand its content and take appropriate action, particularly in the absence of the consultant.
* Ensure that professional standards are adhered to; this includes working with a full knowledge of medical ethics and etiquette.
* Provide a medical secretarial service, at all times adhering to hospital policies and correct procedures, e.g. preparation of medico legal reports, dealing with complaints etc.
* Ensure that all referrals are dealt with in line with Trust policy.
* In the absence of medical secretarial colleagues, provide cover as requested by the Medical Secretariat Supervisors and/or Secretariat Manager e.g. managing urgent correspondence, dealing with voicemail messages, opening the consultant post and taking appropriate action.
* Utilise the trust’s PAS and other information systems as required. Ensure patient information is correct, amending as necessary.
* Prioritise work on a daily basis to ensure that deadlines are met and urgent matters receive appropriate action.
* Develop office and secretarial practices to continually improve service delivery.
* General office duties such as photocopying and faxing.
* Liaise with staff at relevant satellite clinics when required to do so.
* Comply with health and safety guidelines, additionally ensuring compliance with mandatory training requirements.
* Agree individual Personal Development Plan with line manager.
* Take every reasonable opportunity to maintain and improve professional knowledge and competence.
* Any other duties appropriate to the grade and nature of the post as requested by the line manager.
REQUIREMENTS
* Good general education including English and Maths at GCSE A-C or equivalent.
* Advanced typing (60+ WPM)
* RSA III, AMSPAR or equivalent
* Professional secretary with a minimum of 2 years’ experience
* High level of IT skills with MS Office (including Excel, PowerPoint, Word) and Outlook (or similar application)
* Experience of liaising effectively with staff and patients at all levels
