Vacancy
We have a new opportunity for a full-time Document Production Assistant to join our Office Services Team in our Edinburgh office. The successful candidate will have previous Document Production experience. The role will principally be based in our Edinburgh office, but the Firm supports a hybrid working approach through our Smarter Working policy.
Role
The successful candidate will provide a specialist document creation service to Partners and Fee Earners across the Firm, which involves the production of legal correspondence and documentation. As a Document Production Assistant, you will create, format and update a wide range of complex documents, reports, spreadsheets and presentations, as well as transcribe audio files. You will convert documents into house-style using branded templates and styles and use track changes and other software (e.g. Deltaview) to produce comparison documents as required. You will also convert PDF documents and troubleshoot problem documents.
Our Document Production team also cleans and removes hidden metadata from documents, plus proofreads and quality checks all work to ensure it is accurate and consistent, adhering to the firm's standards. You will thoroughly complete the workflow system for each job undertaken and ensure documents are produced within the required timescales. As a Document Production Assistant, you will actively identify opportunities to streamline current working procedures and participate in a continuous improvement framework for the department.
Our Document Production Assistants work as a team and assist each other, capacity permitting, and actively work together to continuously improve the framework and procedures within the team.
The successful candidate will have excellent keyboard, digital dictation and legal secretarial skills with advanced knowledge of Microsoft Office. You will have excellent communication, organisational, team and interpersonal skills. A high degree of confidentiality and attention to detail is a must. The ability to work on your own initiative and prioritise your own workload whilst having the ability to work to tight deadlines and remain calm under pressure is required.
