At our pilot plant facility near Chester, we are looking for an Office Administration Coordinator with strong organizational skills, attention to detail, and the ability to collaborate effectively with cross-functional teams with a proactive mindset. The incumbent will be responsible for providing comprehensive administrative support to our UK Development Manager and the development team. You need to have a full clean driving license and your own car.
Core Responsibilities:
1. Administrative Support:
* Help the Development Manager with tasks like scheduling meetings, handling emails, and answering enquiries.
* Support the Quality Management team with tasks like organising weekly product testing and covering holidays.
* Provide admin support to other departments, such as customer service and purchasing, when needed.
* Plan holidays and customer visits for the development team, ensuring everything is visible and organised.
* Work with the German team to manage SAP development software, making sure it runs smoothly.
* Enter and help review data from development trials, keeping information accurate.
* Manage and update important lists for the development team.
* Gather key performance data for reporting and analysis.
* Improve documents and processes to boost efficiency in the technical centre.
* Coordinate with the German team to enhance administrative processes and teamwork.
1. Quality Management Admin Support:
* Organize and coordinate microbiological and allergen samples for an outsourced production facility.
* Communicate with suppliers to keep certifications up to date and maintain accurate records.
* Provide admin support to ensure supplier and ingredient requirements are met.
* Handle regulatory alerts and report findings accurately and efficiently.
2. Reception & Customer Experience:
* Handle reception duties, welcome visitors, and assist the Health & Safety officer with admin tasks.
* Organize customer visits, catering, and prepare meeting rooms and presentation spaces.
3. Coordination, Travel & Event Planning:
* Arrange hotel bookings, taxis, and travel for the team as needed.
* Help plan and organize internal events, including logistics and catering.
* Coordinate customer visits, ensuring a smooth and welcoming experience.
4. Office Organisation & Purchasing:
* Assist the Health & Safety officer with admin tasks.
* Organize and maintain office supplies.
* Manage purchasing for technical orders and office items.
* Coordinate national and international courier services for shipments.
* Help plan internal events and arrange cards or vouchers for employee anniversaries.
* Keep the office tidy and organized.
* Handle technical purchasing and follow the process for development team orders.
* Work with finance and purchasing to raise Purchase Orders and confirm completed orders on time.
Qualified candidates will have:
* Strong MS Office and databases knowledge
* Strong organizational and time management skills with the ability to multitask and prioritize effectively.
Desirable requirements:
* Proven experience in administrative support / office management roles
* Prior work experience within a technical or development environment would be preferred.
* Knowledge of health and safety regulations and procedures would be a plus.

* Ability to work independently as well as part of a team, demonstrating flexibility and adaptability, with a structured way of working.
* Excellent communication and interpersonal abilities.
* Attention to detail and accuracy in data entry and documentation.
