Inspire Resourcing are currently recruiting for an Installation and Service Coordinator to join our well-established client in Chesterfield. This is a fantastic opportunity to join a great team!
Responsibilities:
* Actively managing the various scheduling queues within the bespoke system covering Site Surveys, Service & Install. Accurately scheduling jobs to the appropriately skilled engineers. Booking in works with sub-contractors and confirming prices. Other queues include – despatch & site to install.
* Checking over previously attended jobs ensuring engineers have called in and provided the team with updates, and where applicable the engineer is issued with a closure code.
* Raising transfer journals for equipment to be despatched in accordance with site attendance requirements.
* Issuing relevant paperwork for both service & install jobs – works completion certificates, RAM’s and plans to engineers prior to site attendance.
* Checking courier tracking systems throughout the day ensuring equipment is delivered to site in time for the engineer.
* Responding to emails from both internal and external stakeholders.
* Speaking to engineers frequently throughout each day to receive updates on their service / install jobs. Accurately updating the job within the system and liaising with the correct Project Manager on any issues the engineer may be faced with on site. Rescheduling engineers for further attendances i.e. second fix, handover / training sessions.
* Liaising with site contacts / technical support on arranging attendance / confirm attendance dates for installation etc.
* Arranging access hire equipment where required for jobs. Using the daily report to check equipment has been off hired on the correct date to ensure no further charges are made by the provider.
* Arranging painting of speakers where required for jobs, via our warehouse team, and the external painting company.
* Assessing and approving sub-contractors’ invoices. Matching them against the works they’ve carried out then passing them through to the Finance team for payment.
* At the end of each week, double check each internal engineer’s route for the following week ensuring travel / distance between each job and their base is acceptable. Then send out a plan of works to each engineer for the following week, so they are informed of their whereabouts.
* Any other task deemed appropriate within the role.

* Proficient in Microsoft Office products, including Work, Excel, and Outlook with the ability to adapt to new systems quickly.
* Extremely organised and able to multi-task.
* Previous, recent experience of working in a fast-paced environment.
* Professional approach to tasks and able to maintain high standards at all times.
* Flexible, open to new ways of working, able to adapt to change.
* Experience of problem solving/able to think on feet.
* Experience in a similar type of role is a distinct advantage.
Skills:
* Excellent interpersonal and communication skills.
* Be able to work through challenging situations / problem solving - schedulers will need to devise plans of action and asses those plans regularly. Ability to stay calm and focussed when problems arise as well as being able to anticipate problems before they happen.
* Excellent organisational skills - at any one time the scheduling team can be dealing with multiple requests from both internal and external contacts, which may mean moving jobs around in order to accommodate requests.
* Ability to work accurately, paying attention to detail, particularly when under pressure.
* Strong team player – you will be working closely alongside other schedulers in carrying out various team tasks and duties on a rota basis. Will need to liaise regularly with the rest of the team to ensure all tasks are being covered off.
