The post holder will be required to provide a professional, efficient and comprehensive reception service within the Obstetrics and Gynaecology unit on GTU - Gynaecology Triage Unit. Fulfilling all necessary reception, clerical, administrative and general tasks required to facilitate and record patient treatment using paper based health records and information technology systems. Staff are expected to be courteous and considerate at all times and have excellent customer care skills. After appropriate training the post holder will be required to utilise the hospital Medway PAS computer system to capture and update necessary data, and to use the case note tracing system to accurately record the movement of paper based health records. The role requires close liaison with other disciplines and the provision of a courteous, reliable and quality consumer service to patients, relatives and carers, healthcare professionals, internal departments and outside organisations. Given the nature of the department the post holder must maintain all patients privacy and confidentiality.

To provide a welcoming, friendly and courteous reception to patients, visitors, carers and internal users of the service.
Deal with enquiries in person or by telephone in an efficient and polite manner. To record patient attendances and accurate data on Medway PAS.
To Create and file health record folders.
To locate and retrieve health records from around the Trust.
To prepare the required health records ready for the consultation together with any relevant diagnostic, social and personal information required.
To organise Interpreting Services as required.
To accurately record the outcome of patient’s appointments on Medway PAS.
To organise and direct patients to attend diagnostic tests/other departments.
To be responsible for making follow up appointments, alterations and cancellations of appointments promptly and within the Consultant’s booking rules.
To liaise by telephone with patients, General Practitioners, Community Midwives, secretaries, ward receptionists etc, regarding hospital appointments.
To screen all new patients on arrival for Overseas Visitor status, contacting the Private Patients Officer as necessary.
To confirm at each patient visit that all recorded details are complete and accurate e.g. GP, address, telephone number, and to amend these on Medway PAS and within written health records as required.

To communicate with clinic staff, colleagues and patients to explain any delays or problems with the location of health records.
To inform patients of their appointment by letter, including any other required information/literature. Undertake the distribution and collection of information for surveys and audits as required
