MAIN PURPOSE OF ROLE
Providing administrative support to the functional business area, relevant management teams and Directors as appropriate across ADC Witney to meet the needs of the business and customers.
Planning and coordinating team briefs and other unit communications as required.
Ensure that all communications, interpersonal interactions and business behaviours are consistent with a Centre of Excellence and the Abbott Code of Conduct.
Support an administrative environment that ensures team effectiveness across ADC Witney.
MAIN RESPONSIBILITIES
1. Organising travel for departmental members, including visas, flights, accommodation and transport.
2. Diary management for Director and senior managers of the department.
3. Assist with the compilation of organisational charts and job descriptions.
4. Tracking of all documents for approval.
5. Ensuring continuous process for Performance Excellence, including scheduling and coordinating annual performance reviews, goals and growth plan reviews.
6. Deploy systems for tracking headcount to ensure all details necessary to ensure staffing issues are managed monthly.
7. Responsibility for administrative tasks and support to the Division and wider ADC Witney site when required, holiday/absence etc.
8. Organising meeting schedules and logistics for visitors and visiting teams to the department.
9. Organising department events for goals alignment and reviews, including rooms, meals, supplies and poster preparation.
10. Responsibility for the smooth running of department including supervision of shared resources such as copiers and ordering general stationery supplies and sundries. Management of office facilities and equipment for new starters within the group PPE and appropriate work equipment.
11. Ensure all procurement responsibilities are carried out effectively and within budget.
12. Compile and coordinate the departmental monthly meeting data and monthly Highlight reports.
13. Manage expenses for the department.
14. Through role model behaviour demonstrate full cross functional team support for the department.
15. Compile contract changes for the groups and submit to managers for approval and track progress.
16. Take minutes when required for management meetings.
17. Maintain accurate filing and retrieval system for client area as required.
18. Prepare overtime sheets within deadline and submit to payroll, manage pay queries and departmental queries as required.
19. Responsible for maintaining the effectiveness of the Quality System at the site in accordance with divisional and corporate requirements and applicable regulations.
20. Compliance with EHS regulations and Abbott standards by adhering to EHS systems, programmes and procedures, being accountable for the Health & Safety of themselves and others by highlighting where improvements to EHS performance can be made.
21. Be proactive in recommending business and cost improvements in line with business excellence activities.
22. Work within local area to ensure responsible for fiscal management.
23. Responsible for compliance with applicable Corporate and Divisional Policies and performing other duties as assigned by management.
