Description Joint Legal Services are seeking an individual to join our busy Business Support Team in a supervisory capacity to assist in the provision and delivery of high quality transactional and customer service to support the Legal Services Department of Staffordshire & West Midlands Police. Applications are invited from individuals who have previous supervisory experience, excellent interpersonal skills to provide a high quality, effective and efficient service and: Possess a high degree of accuracy and attention to detail Have good communications skills both verbal and written Can work effectively as part of and supervise a team Can multi-task and prioritise workload / tasks Have a flexible approach to work A successful candidate will be one who can provide the Joint Legal Services Department with confidential, comprehensive, and efficient administrative support service and system administration while also undertaking day to supervision of the Business Support function ensuring they are able to prioritise their and the teams workload according to the demand of the various teams across the department. The following is an example of some of the duties carried out across the department: Effective maintenance, development and daily use of our Case Management System (Iken) to support service delivery and timely production of data Including but not limited to: Inputting & maintaining files on the system Building and maintaining workflows within the system Creating and amending templates within the system Producing reports from within the system Use of other appropriate IT systems such as our Claims Handling System & Microsoft 365 (Primarily; Outlook, Word, Excel, Teams & SharePoint) Maintain & update the Joint Legal Services department SharePoint sites Production of succinct information relating to all areas of work undertaken and assist in the analysis of this data Supervision on a day to day basis of the Business Support function including supervision of the Business Support Assistants, oversight of work allocation & completion, development of team members and providing feedback when necessary. Supporting with day to day tasks of the wider Business Support function as and when required based on staffing levels, ensuring all deadline are met Support the training of new members of staff to the department and development of existing staff / training on new processes where required Secretary / PA support to the Legal Services Director(s) (including diary management) Archive management tasks – including within the department offices & at our off-site archives Management of stationery and office supplies held (including ordering goods when required) To support the Business Support Manager day to day and able to deputise for them during their absence To provide note and minute taking as required The post holder must also undertake other duties within their competence or otherwise appropriate to the grading of the post as and when required. Essential Criteria: Experience of working within an Administration Team Experience of working in a supervisory role & supervising a team High level of computer literacy skills with a good working knowledge of Microsoft 365 (Primarily; Outlook, Word, Excel, Teams & SharePoint) Ability to multi-task & prioritise within a demanding environment Proven experience of strong team working with stakeholders at varying levels Experience of producing and analysing data to prepare reports / updates based upon this data High degree of accuracy and attention to detail High level of interpersonal and communication skills (written and verbal) Strong organisational skills & effective time management Self-motivated individual with the ability to work under own initiative with limited supervision or direction Desirable Criteria: Previous experience with a case management system Knowledge of legal practice work Experience of working with confidential material Providing support to agile workers Experience of diary management Experience of minute / note taking Prospective officers and staff must be held to a higher standard of behaviour and accountability than members of the public, and that therefore their right to privacy can be fettered in certain circumstances. Vetting: Successful applicants will be required to pass Recruitment Vetting and Security Clearance scrutiny prior to commencing their role, this will include a full background & financial disclosure as part of the vetting process.
