ASEL is looking for a proactive and highly organised Property & Facilities Coordinator to support the management of our facilities and building leases across multiple UK locations. Reporting to the Facilities Director, you will play a key role in ensuring our office spaces are well-maintained, cost-effective, and aligned with business needs. Main duties & key responsibilities Facilities & Property Management: Oversee the day-to-day management of facilities across six UK locations. Ensure all properties are well-maintained and any building issues are resolved efficiently. Manage lease agreements, renewals, and negotiations, liaising with landlords and legal teams where necessary. Supplier & Contract Management: Build and maintain relationships with suppliers, ensuring cost-effective and high-quality service delivery. Negotiate and oversee contracts with vendors, including maintenance, security, cleaning, and utilities. Monitor service levels and hold suppliers accountable to contractual agreements. Project Management & Business Initiatives: Support and lead projects related to property improvements, refurbishments, and office relocations. Assist in rolling out new workplace efficiency initiatives across multiple locations. Communicate and coordinate facility changes with all relevant stakeholders to ensure a smooth transition. Health & Safety Compliance: Ensure all company properties comply with relevant health & safety regulations. Conduct regular risk assessments and liaise with internal teams to maintain a safe working environment. Implement best practices for workplace safety, emergency procedures, and compliance reporting. General Support & Administration: Provide administrative and operational support to the Facilities Director. Maintain accurate records of leases, contracts, and facilities-related activities. Monitor budgets and seek cost-saving opportunities without compromising service quality. Use company-specific software (training provided) to manage and report on property and facilities management. Working relationships – Please see organisation structure for more information Reporting to – Facilities Director Knowledge, Skills and Experience Essential: Strong organisational and time management skills, with the ability to manage multiple locations efficiently. High level of computer literacy – training will be provided on company-specific systems. Proactive and problem-solving mindset, with a keen eye for identifying opportunities to improve processes. Ability to work under pressure and manage competing priorities effectively. Basic understanding of building health & safety regulations and compliance requirements. Willingness to travel occasionally between office locations across the UK. Desirable: Previous experience in a property management, facilities, or real estate role. Knowledge of lease agreements and supplier contract management.
