Job Description
This role involves providing proactive and high-quality administrative support to a portfolio of up to four Partners.
Key Responsibilities
1. Relationship management
* Act as an ambassador and first point of contact for allocated Partners, both Equity and Non-Equity.
* Develop and maintain internal and external networks, building knowledge of key client handling teams and issues to effectively identify and communicate priorities.
* Build strong relationships with clients and their EAs, identifying opportunities to enhance EY’s reputation.
1. Diary and meeting management
* Provide comprehensive diary management, exercising judgment to resolve conflicts and prioritize tasks.
* Monitor meeting attendance, ensuring enquiries and issues are delegated and resolved effectively.
* Arrange logistics and prepare documentation for meetings.
* Plan itineraries proactively, researching and considering cost-effective travel options, including visa assistance.
* Identify cost reduction opportunities, utilizing preferred travel providers according to policies.
2. Communication management
* Manage communications, monitor emails, post, and calls, taking appropriate actions.
* Proofread and verify all communications and documents, adhering to brand and risk procedures.
3. Events management
* Manage large and complex events, ensuring policy compliance and liaising with relevant teams.
* Coordinate logistical arrangements and attend events as needed.
* Manage budgets and negotiate costs effectively.
4. Time and expense management
* Prepare and submit timesheets.
* Process expenses and invoices, ensuring policy compliance.
* Reconcile credit card and bank statements with receipts.
5. General administrative and project support
* Delegate tasks to EAs, maintain client databases, and provide ad hoc project support.
* Greet visitors and cover colleagues during absences.
Experience and Skills Required
* Experience in a professional services environment preferred.
