Job Purpose
We have a great opportunity for an Operational Assistant to join the Manchester Water Treatment Management Team. You will provide support to the Management Team by acting as a coordinator. You will ensure that all identified training needs are fulfilled, including booking training courses for non-centrally scheduled colleagues, communicating arrangements, organising accommodation and subsistence if required. You will need to keep accurate records to ensure that compliance is met with regard to training. The role is varied and integral to an efficient Field operation in its support to the Treatment Delivery Manager, Production managers and wider Manchester Water County Team.
Job Accountabilities
* You will act as Training Coordinator for your area for non-centrally scheduled colleagues, liaising between the Training department and individuals to ensure attendance at all arranged training venues. You will ensure staff are notified of nominated training course, completion of booking form and act as point of contact for any problems on the day of training, (sickness, none attendance, directions).
* Support field staff on Outlook, Word & Excel and act as first point of contact for any queries on Computer & software problems.
* Provide support for all local Health and Safety requirements including co-ordination of briefings, training, record-keeping and reporting.
* Ensure currency and validity of all Health and Safety documentation, records and notice boards.
* Assisting new starters with access to company systems and processes.
* Order, monitor and record Personal Protective Equipment (PPE) and uniform.
* Order and record tools and equipment, organising return of broken items for replacement.
* Order IT equipment on behalf of managers including devices for new field team members and order stationary and office materials.
* Support the administration of the AIRline system e.g. action monitoring, working with the Team Manager towards completion of actions in the system.
* Administer and update the business area team share point.
* Administer appropriate purchasing requirements using either a Purchasing Card or SAP procurement systems.
* Raising SAP orders and cheque requests on behalf of the managers.
* Investigate and, where possible, resolve discrepancies or problems with purchase orders, suppliers, and manage payment requests.
* Support Field Operations Manager with the administration of monthly payment by results bonus scheme.
* Act as focal leader for the area to fulfil all statutory issues and reporting requirements for the Operations, transport fleet, including the collation of fuel sheets, daily vehicle checks.
* Recording notes and actions from local team meetings and ensuring employees who do not attend receive the relevant information and briefing materials/notes or any mop up sessions.
* To monitor, evaluate and report on staff working hours (in line with Working Time Directive).
* Monitor, evaluate and report on the use of Lone Working systems.
* Ensure that carried-over leave is added to individual allowances and ensure that I.D. cards for staff are kept up to date.
